The posting

Upway is the leading platform selling refurbished e-bikes in Europe and the US. Our mission is to make electric mobility accessible to everyone. As People OPS & Office Manager, you will own the people operations and office backbone of our DACH organization.

You will play a critical role across people operations (payroll, contracts, employee lifecycle), HR administration and compliance, and office management for our Berlin sites (Upcenter and managers), working closely with the GM DACH and our external partners (accountant, payroll provider, service providers).

This role is ideal for a highly organized, people person, detail-oriented person who thrives on running reliable processes autonomously in a fast-paced environment.

Key Responsibilities

  • Payroll: prepare monthly payroll with our accountant/payroll provider (working hours, sick leave, vacation), check payslips
  • Contracts and employee lifecycle: draft and manage employment contracts, amendments and certificates; run onboarding and offboarding end-to-end (paperwork, equipment, system access)
  • Safety and people compliance: ensure compliance with occupational health and safety requirements, maintain employee records, ensure compliance with German labour law and internal HR policies, and act as first point of contact for warehouse staff and operations in Berlin regarding people topics.
  • Office management & team events: manage office services and supplies (incl work clothes), own the relationships with service providers, handle mail and document filing, manage the office budget
  • Process improvements: identify gaps in HR and office processes and fix them so they scale with the team

Skills, Knowledge and Expertise

  • 3+ years of experience in HR administration, people operations or office management, ideally in a startup or scale-up
  • Hands-on experience with German payroll preparation and coordination with external payroll accountant, employment contracts
  • Exceptional organization, attention to detail and discretion with confidential information
  • Service Orientation: Solution-driven, with a genuine drive to make colleagues work easier.
  • Familiarity with HR tools (e.g. Personio) and strong Google Workspace/Excel skills
  • Fluent German and very good English (written and spoken)
