Risk & Claims Administrative Assistant – Vaden Automotive
Vaden Automotive is looking for a highly organized and detail-oriented Risk & Claims Administrative Assistant to support our Risk & Claims team. This role is ideal for someone who is strong with administrative work, comfortable working with detailed and confidential information, and able to keep multiple tasks, documents, and deadlines organized.
You do not necessarily need an extensive claims background to be successful in this role. We’re looking for someone who is dependable, organized, comfortable with technology, and willing to learn.
What You’ll Do
In this role, you’ll provide day-to-day administrative support to our Risk & Claims team, including:
- Assist with opening, documenting, and tracking insurance claims, incidents, and accidents
- Maintain accurate claim files, records, supporting documentation, and status updates
- Communicate with insurance adjusters, internal managers, and other parties to gather information and documentation
- Assist with follow-up on outstanding claims, documents, and action items
- Enter and maintain information within claims and risk management systems
- Prepare weekly, monthly, and ad-hoc reports as needed
- Assist with incident reporting and required safety and environmental documentation
- Organize electronic files and ensure records are complete and easily accessible
- Provide general administrative support to the Risk & Claims team
- Handle sensitive employee, customer, and company information with a high level of confidentiality
- Assist with additional projects and administrative needs as assigned
What We’re Looking For
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and follow through on outstanding items
- Strong computer skills and the ability to learn new systems quickly
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel
- Clear and professional written and verbal communication skills
- Ability to work independently while supporting a collaborative team
- Strong judgment when handling confidential or sensitive information
- Previous administrative, insurance, claims, warranty, accounting, or dealership experience is a plus, but not required
