Responsibilities

Client Interaction and Communication

• Greet clients warmly and professionally, creating a welcoming and comforting experience from the moment they enter the hospital.
• Answer incoming phone calls and assist clients with questions regarding appointments, services, hospital policies, and general information.
• Schedule appointments, procedures, and surgeries while helping maintain an efficient hospital schedule.
• Communicate clearly and compassionately with clients throughout their experience with our hospital.

Check-In and Check-Out

• Manage client and patient check-ins efficiently while confirming and updating necessary information.
• Process payments accurately and provide invoices and receipts.
• Coordinate smooth check-out experiences, including scheduling follow-up appointments and communicating applicable discharge or follow-up information.
• Help ensure accurate communication between clients and the medical team.

Administrative Responsibilities

• Maintain accurate electronic and paper medical records.
• Complete administrative responsibilities including scanning, filing, faxing, data entry, and documentation.
• Maintain and update client and patient information within the hospital's practice management system.
• Assist with appointment and schedule management throughout the day.

Client Education and Support

• Help clients navigate routine questions regarding preventive care, vaccinations, medications, and hospital services within the scope of the CSR role.
• Assist clients with forms, treatment plan communication, scheduling, and general questions.
• Provide patience, empathy, and support to clients who may be worried or emotional about their pet.

Team Collaboration

• Work closely with veterinarians, veterinary technicians, assistants, and fellow client service team members to support efficient patient flow.
• Communicate changes, client concerns, special requests, and scheduling needs to the appropriate team members.
• Jump in where needed and contribute to a positive, collaborative hospital environment.

More Than a Receptionist

Our Client Service Representatives are much more than receptionists.

This position is an essential part of the veterinary team and plays an important role in both the client and patient experience. Our CSRs need to be warm, friendly, professional, organized, knowledgeable, and comfortable managing multiple priorities and interruptions throughout the day.

Veterinary medicine can be fast-paced and emotional. The right person for our team understands how to remain calm, compassionate, and helpful while balancing phones, appointments, client needs, communication with the medical team, and the unexpected situations that naturally happen in a veterinary hospital.

Qualifications

• Excellent interpersonal and customer service skills with a friendly and professional demeanor
• Previous veterinary receptionist, Client Service Representative, veterinary assistant, or veterinary hospital experience strongly preferred
• Strong verbal and written communication skills
• Ability to multitask effectively in a fast-paced environment
• Strong attention to detail and organizational skills
• Comfortable using computers, practice management software, and Microsoft Office
• Ability to manage appointments, records, phone calls, and administrative responsibilities
• Empathy and patience when working with clients who may be anxious or stressed about their pets
• Dependable, team-oriented, and willing to support coworkers when needed
• Genuine interest in veterinary medicine and providing an exceptional experience for clients and their pets
