The posting

Executive Administrator Are you a highly organized and detail-oriented professional looking to make a meaningful impact in a dynamic corporate environment? Washington Trust is seeking an experienced, highly organized, proactive and solutions-driven Executive Assistant to provide dedicated support to the Chief Executive Officer and Chief Operating Officer. This position requires more than outstanding administrative skills. The successful candidate will be a trusted partner who anticipates needs, manages competing priorities with discretion and sound judgment, and serves as a key point of coordination across the organization. The Executive Assistant will be responsible for managing complex calendars, communications, travel, meetings, and executive priorities while also supporting strategic projects, leadership initiatives, and special assignments. The ideal candidate is comfortable working behind the scenes to keep executives focused on the highest-value activities while simultaneously engaging with senior leaders, board members, clients, and community stakeholders. If you are an accomplished executive administrator looking for an opportunity to contribute to a forward-thinking and mission-driven organization, we want to hear from you! Key Responsibilities

Provide high-level administrative support to the Chief Executive Officer and Chief Operating Officer, ensuring the efficient management of daily activities, priorities, and commitments.

Manage complex and frequently changing calendars, exercising sound judgment in prioritizing requests and aligning executive time with organizational objectives and strategic priorities. Conduct research, gather information, and prepare, edit, and proofread presentations, reports, correspondence, briefing materials, Board materials, and other business documents, ensuring accuracy, quality, and professionalism while supporting executive decision-making, strategic initiatives, and organizational objectives. Coordinate and execute executive-level meetings, leadership forums, strategic planning sessions, Board-related activities, and special events, proactively managing schedules, agendas, materials, logistics, technology, and stakeholder communications. Extend support beyond the event itself by coordinating follow-up activities, monitoring key action items and commitments, and helping ensure that decisions are translated into meaningful outcomes.

Anticipate executive needs, identify potential scheduling or operational challenges, and proactively recommend solutions before issues arise. Serve as a trusted representative of the Executive Office, fostering effective communication and strong working relationships among senior leaders, directors, employees, customers, shareholders, regulators, community stakeholders, and business partners. Manage and prioritize executive communications, including email and telephone inquiries, ensuring timely responses, seamless follow-up, and thoughtful coordination of matters requiring executive attention. Coordinate travel arrangements, expense reporting, and related logistics while maintaining compliance with company policies and procedures. Monitor ongoing initiatives, commitments, action items, and leadership priorities, helping to ensure deadlines are met, deliverables remain on track, and executives are informed of progress and potential issues. Take ownership of assigned projects and responsibilities, independently driving work to completion while keeping executives informed of progress, issues, and opportunities. Leverage sound business judgment, organizational knowledge, and critical thinking skills to anticipate needs, identify opportunities, and provide proactive recommendations that enhance executive effectiveness and organizational outcomes. Continuously seek ways to improve processes, enhance efficiency, and add value through insights, organization, and proactive problem-solving. Exercise discretion, diplomacy, and sound judgment in handling highly confidential, sensitive, and proprietary information. Assist in managing Executive Office operations, records, document retention, and the organization of key business information to ensure accuracy, accessibility, and compliance with corporate requirements. May provide support to other executives as needed, including to the Corporate Secretary with respect to Board and governance-related matters. Provide backup support for other executive administrative functions as needed.

What Sets This Role Apart The successful candidate will be more than an exceptional administrative professional. They will be a proactive partner who anticipates needs, thinks several steps ahead, and takes ownership of responsibilities with minimal direction. This individual will demonstrate strong business judgment, identify opportunities to improve efficiency and effectiveness, and bring thoughtful insights that help senior leadership focus on the organization's highest priorities. What We’re Looking For:

Minimum of 7-10 years of demonstrated experience supporting C-suite executives, presidents, CEOs, COOs, or other senior leaders. Experience in banking, financial services, higher education, healthcare, law, or other complex professional environments preferred. Demonstrated ability to anticipate needs, take initiative, work independently, exercise sound judgment, and assume ownership of projects and assignments from concept through execution, delivering successful outcomes with minimal direction. Exceptional written, verbal, analytical, and interpersonal communication skills, including the ability to synthesize complex business, financial, and strategic information. Advanced calendar management and scheduling expertise, with the ability to manage competing priorities and rapidly changing demands. Outstanding organizational skills, attention to detail, and commitment to accuracy. Strong problem-solving, critical thinking, and relationship management skills, with a proactive, service-oriented approach. Advanced proficiency in Microsoft Office 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint, as well as other collaboration and meeting platforms, including WebEx. High degree of professionalism, discretion, diplomacy, and ability to handle highly confidential information. Bachelor's degree preferred or an equivalent combination of education and relevant executive support experience.

Location: Due to the nature of this role and the need to support senior executives, the successful candidate must be able to work primarily onsite at Washington Trust’s corporate headquarters in Westerly, Rhode Island, with periodic travel to our Providence office and other locations as business needs require.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
