Guest Experience & Office Coordinator - Full or Part Time
At Genesis of Schererville, we’re looking for someone polished, organized, and proactive to help deliver an exceptional customer experience while keeping daily dealership operations running smoothly. This role is the main administrative support for the store and the face of our customer lounge, combining hospitality with office and accounting support to keep our showroom and lounge on brand and our paperwork accurate.

You know how to make a guest feel taken care of, you notice when something is out of place, and you fix it without being asked. You're just as comfortable balancing a deposit as you are greeting a guest, and you can manage your own day without someone checking in on you.

Responsibilities
- Serve as the main administrative support for the store
- Create and maintain a polished, welcoming showroom and customer lounge, including refreshments, décor, and television displays; check music station and volume throughout the store
- Monitor and replenish customer refreshments, keep lounge areas clean and presentable, and serve as a go-to contact for guests with questions or directions
- Prepare check and cash deposits and enter deposits into our banking system
- Reconcile daily credit card transactions
- Assist with monthly accounting tasks, including coordinating inventory reconciliations
- Scan, organize, and upload repair orders, deal documents, and other paperwork into the dealership management system (DMS) the same day
- Manage accessory inventory, including ordering, receiving, display, and processing customer payments for accessory purchases
- Support new vehicle stock-in, including check-in, key tags, and key control
- Answer incoming calls as needed and make outbound calls to customers
- Oversee the cleaning company: check the details, confirm everything on the scope is done, and follow up on anything missed
- Manage office and lounge supply inventory and reorder before anything runs out
- Prepare and send customer thank-you packages following vehicle purchases
- Assemble welcome bags for new employees' first day
- Assist with special projects and other office tasks as needed
Qualifications
- Experience serving high-end or luxury clientele is preferred
- Experience with cash handling, deposits, and reconciliations; dealership office or accounting experience is a plus
- Previous experience in hospitality, luxury retail, customer service, or dealership operations is a plus
- Self-starter who works independently, solves problems, and manages time efficiently
- Excellent communication and customer service skills
- Strong organizational skills, accuracy, and attention to detail
- Professional, polished demeanor with a hospitality-focused mindset
- Comfortable balancing administrative responsibilities with hands-on tasks and customer interaction
- Valid driver's license and a driving record that meets our insurance requirements
- Comfortable with Excel and able to learn dealership and banking systems
