The posting

Role Overview

Wing Assistant is looking for a detail oriented Paralegal Virtual Assistant to support client contracting and compliance requirements, primarily for clients based in the United States and the United Kingdom.

This person will review client requests, identify required documents and certifications, and coordinate with our Philippine lawyers and internal teams to complete requirements accurately and promptly. The role will work closely with Sales to resolve documentation blockers and help virtual assistant placements move forward.

Key Responsibilities

  1. Contract and NDA Review Review client NDAs, service agreements, confidentiality provisions, and related documents against approved templates and guidelines. Summarize obligations, flag unfamiliar terms or deviations, and prepare questions or proposed revisions for legal review.
  2. Client Requirements Assessment Analyze contractual and compliance requests to identify what the client requires, why it is needed, which team owns it, and when it must be completed. Clearly distinguish existing documentation from requirements needing further review or action.
  3. Certification and Documentation Coordination Coordinate requests for company documents, certifications, insurance evidence, policies, and other supporting records. Verify availability, validity, and applicability with the responsible teams before providing documents or confirming compliance.
  4. Sales Support Serve as the coordination point for legal and compliance requirements arising during the sales process. Give Sales clear updates on outstanding items, required approvals, expected timelines, and next steps.
  5. Legal Team Coordination Prepare organized summaries and supporting documents for our Philippine lawyers. Track legal feedback, coordinate approved revisions, and escalate matters requiring specialized advice on U.S. or U.K. requirements.
  6. Internal Coordination Work with Operations, HR, Finance, IT, and other relevant teams to gather information and complete client requirements. Follow up consistently until each item is resolved or formally escalated.
  7. Document and Approval Management Maintain accurate records of contract versions, approvals, signatures, expiration dates, and outstanding obligations. Ensure documents follow the appropriate review and signing process.
  8. Process Improvement Maintain a central repository of approved templates, frequently requested documents, and standard responses. Identify recurring blockers and recommend ways to improve turnaround time.

What Success Looks Like

Client requirements are identified early, documents are accurate and organized, and Sales receives timely, actionable updates. Legal concerns reach the appropriate lawyer promptly, and placements move forward once the required documentation and approvals are complete.

Scope of Authority

This role provides legal and administrative support under the guidance of company counsel. Contract changes, legal interpretations, compliance commitments, and exceptions require approval from the appropriate authorized reviewer.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
