About the Role
We are looking for an organised, confident, and detail-oriented Clinical Training & Documentation Coordinator to support our client's ABA (Applied Behavior Analysis) team.
In this role, you will be responsible for training Registered Behavior Technicians (RBTs) on the correct use of clinical software, monitoring session documentation, and ensuring records are completed accurately and on time.
You will play an important role in maintaining documentation standards, supporting staff with system-related questions, and following up on outstanding items to ensure compliance with internal requirements and deadlines.
Experience with CentralReach is highly preferred. However, candidates with experience using similar healthcare platforms, electronic medical records (EMR/EHR) systems, or clinical practice management software are encouraged to apply.
Requirements
Key Responsibilities
- Staff Training & Onboarding: Conduct virtual training sessions to help RBTs understand how to use clinical software and follow documentation procedures correctly.
- Clinical Documentation Monitoring: Review and track session documentation to identify incomplete, missing, or incorrectly completed records.
- Follow-ups & Accountability: Proactively follow up with RBTs to ensure outstanding documentation is completed within the required deadlines.
- Quality & Compliance: Identify documentation errors and inconsistencies, communicate required corrections, and help maintain accurate clinical records.
- Progress Tracking: Maintain trackers and reports to monitor outstanding documentation, completion rates, and recurring issues.
- Communication & Support: Provide clear instructions, answer process-related questions, and support staff in resolving documentation challenges.
- Process Improvement: Identify recurring issues and help improve training materials, documentation processes, and follow-up procedures.
Requirements
- Experience in healthcare administration, clinical operations, quality assurance, compliance, staff training, or clinical documentation.
- Experience training or onboarding staff on software, systems, or operational processes.
- Strong attention to detail and the ability to identify errors and incomplete records.
- Excellent written and verbal English communication skills.
- Strong organisational and time-management skills, with the ability to manage multiple priorities independently.
- Confidence conducting virtual training sessions and communicating expectations professionally.
- Experience using task trackers, spreadsheets, or similar tools to monitor outstanding work and deadlines.
- The ability to follow through consistently and hold staff accountable for completing required tasks.
Software Experience
Experience with CentralReach is highly preferred, particularly in an ABA or clinical setting.
Candidates with experience using similar healthcare systems or EMR/EHR platforms are also encouraged to apply. Examples include:
- GoodX
- Healthbridge
- Elixir Live
- HealthONE EHR
- Solumed
- FlowMed
- Cliniweb
- eMD
- Navitas
Experience with these platforms does not replace the need to learn CentralReach, but may provide a useful foundation in clinical documentation and healthcare workflows.
What Success Looks Like
- Staff are confident using the required clinical software.
- Session documentation is completed accurately and within deadlines.
- Missing or incorrect records are identified and addressed promptly.
- Follow-ups are completed consistently, without outstanding tasks being overlooked.
- Documentation processes remain organised, and staff understand their responsibilities.
Ideal Candidate
You are a confident communicator who enjoys training and supporting others but is also comfortable following up firmly and professionally when tasks remain incomplete. You are proactive, highly organised, and take ownership of ensuring that documentation is accurate, deadlines are met, and processes run smoothly.
