The Role

Compliance and Asset Administrator for an Australian heavy transport business. Day shift in Pampanga, Brainbox employed. You own the servicing and compliance due list and make sure nothing falls through.

Our client is a Western Australia based lifting and heavy transport business, servicing mining, construction and industrial clients. You will report directly to the client's Transport Manager, taking the compliance, asset and servicing administration off her plate so she can keep running transport scheduling.

Key Duties

Compliance and Asset Administration

  • Keep the equipment and asset register current
  • Work a due list every day, identify what is coming due, and escalate anything at risk before it lapses
  • Check fatigue records, driver pre-starts and reported faults daily against the day's allocations
  • Raise anything missing, overdue or failed to the Transport Manager the same day

Servicing and Maintenance Administration

  • Review records to find equipment due for service, book it with the supplier by phone and email, and confirm dates back to the Transport Manager
  • Document each completed service in SharePoint and Assignar so the compliance trail holds up under audit
  • Coordinate equipment moves and chase suppliers who have not confirmed or returned paperwork

Portals, Records and Documentation

  • Upload service documents and certificates to client portals on time and in the right place
  • Keep the same item reading the same way across Assignar, SharePoint and the portals
  • Administer Assignar day to day and prepare records on demand for audit or client request

Requirements

Requirements

Essential

  • 2-4 years in administration, compliance administration or operations support, somewhere with recurring scheduled obligations such as servicing, certification, registration or inspection cycles
  • Hands on experience in a records, maintenance or workforce system others rely on, such as Assignar, SAP, Pronto, Simpro, Fleetio, or a maintenance or compliance module of an ERP
  • Working knowledge of Excel, and SharePoint or a comparable document library, filing and versioning to a set convention
  • English strong enough to chase an Australian supplier by phone and email independently

Preferred

  • Heavy transport, lifting, plant hire, mining services or construction exposure
  • Assignar experience specifically
  • Client or contractor portal experience, uploading certificates against a client's filing requirements
  • Experience working with Australian stakeholders
