ABOUT FATHOM ROBOTICS

Fathom Robotics provides operations, maintenance, training, and applied engineering services for uncrewed maritime systems supporting U.S. Government and commercial defense programs. We have multiple active projects across a variety of government and commercial clients and are actively fielding systems in operational environments.

ROLE OVERVIEW

The Data Entry Specialist supports Fathom Robotics’ finance and people operations by entering, updating, and checking the records that keep the business running: timesheets, expenses, vendor and invoice information, and employee records. This is an entry-level, part-time remote role for someone who is careful, consistent, and comfortable working with confidential information. You will work from source documents and clear instructions, flag anything that does not match, and help keep our records accurate as Fathom grows and moves its timekeeping and project accounting into Unanet. Accuracy matters here: payroll, client billing, and government contract reporting all depend on the data this role enters.

PROGRAM CONDITIONS

This is a fully remote, part-time position averaging 5–10 hours per week. Hours are flexible, but some work is tied to deadlines; expect hours to cluster around payroll and timesheet cutoffs and month-end close, with work completed within the turnaround times set by your manager. You will need reliable high-speed internet and a private workspace where confidential financial and employee information cannot be viewed or overheard by others. Work is performed only in Fathom-approved systems and accounts, following Fathom’s security and data-handling requirements. No travel is required

RESPONSIBILITIES

This role supports Fathom’s finance and people operations. It enters and maintains records but does not approve payments, payroll, or personnel actions.

  • Enter and update financial records accurately, including employee timesheets, expense reports and receipts, vendor information, and invoice details, using source documents provided by the finance team Enter and maintain employee records, such as new-hire information, personnel changes, and required forms, in Fathom’s HR and payroll systems Check entries against source documents before submitting and identify missing, inconsistent, or duplicate information Report discrepancies and questions to your manager promptly rather than correcting source data on your own judgment
  • Organize, name, and file supporting documents in the designated company systems so records are complete and easy to retrieve Help with data entry, record setup, and validation as Fathom transitions timekeeping and project accounting into Unanet Handle all financial and employee information confidentially and follow Fathom’s data-handling, access, and security procedures Meet processing deadlines tied to payroll, timesheet, and month-end cycles, and communicate early if a deadline is at risk

Requirements

Desired Qualifications:

  • No minimum years of professional experience required; this is an entry-level role. Some exposure todata entry, office administration, bookkeeping, payroll, or HR records through work, internships, ocoursework is expected
  • Familiarity with entering financial and human resources data (for example, timesheets, expenses, invoices, or employee records)
  • Strong attention to detail and a demonstrated habit of checking your own work
  • Working proficiency with spreadsheets (Microsoft Excel or Google Sheets) and comfort learning new web-based business systems
  • Ability to handle confidential financial and personal information with discretion
  • Clear written communication and reliability working independently on a remote, part-time schedule
  • Reliable high-speed internet and a private workspace suitable for handling confidential information
  • US person status required (defense program context)
  • Must be able to pass a background check

Preferred Backgrounds:

  • Experience using Unanet (timekeeping, project accounting, or financials)
  • Experience with QuickBooks Online, QuickBooks Time, or a similar accounting or payroll system
  • Coursework or a certificate in accounting, bookkeeping, business administration, or human resources
  • Exposure to government contractor timekeeping or record-keeping practices
