Job Description

Job Title: Executive Administrator to C-Suite

Job Location: 17725 Katy Fwy, Houston, TX 77094

Job Overview:

The Executive Administrator provides high-level, comprehensive support to the Chief Executive Officer (CEO), while also providing critical administrative partnership to the Chief Financial Officer (CFO) and Chief Development Officer (CDO).

Because this role sits at the intersection of leadership, finance, and development, it is a position of extreme trust. The defining requirement of this role is absolute, uncompromising confidentiality. You will be the "vault" for sensitive financial data, legal contracts, strategic growth plans, professional schedules, and executive bookings requiring the highest level of professional maturity and "steel-trap" discretion.

In addition to primary duties supporting C-suite executives, this individual will actively serve within the Neighborly Department, the "utility department" of CBA. Operating with a true "servant's heart," the Neighborly Department steps in wherever extra support is needed to fulfill CBA's foundational mission to be a good neighbor. This dual mandate requires a flexible team player who can balance high-level executive support with hands-on, practical service across the Support Center.

Responsibilities:

Multi-Executive Support & Confidentiality

  • Strategic Gatekeeping: Manage access and communication for the CEO, CFO, and CDO. Serve as a professional filter, ensuring leadership is briefed on urgent matters while shielding them from unnecessary interruptions.
  • The "Vault" Mindset: Handle highly sensitive information—including financial audits, franchise development deals, and legal documents—with total confidentiality.
  • Fiduciary & Legal Support: Assist the CEO and CFO in fulfilling fiduciary responsibilities; facilitate the procurement of sensitive signatures for legal, construction, and corporate teams.

Operational & Calendar Command

  • Complex Coordination: Orchestrate and de-conflict the daily itineraries of three C-suite executives, ensuring all parties are prepared for internal/external meetings with relevant background briefings.
  • Meeting Command: Lead the preparation for Leadership Team meetings and Board sessions. This includes drafting agendas, capturing high-level confidential minutes, and tracking executive action items.
  • Travel Logistics: Arrange seamless travel and accommodations for the CEO, CFO, and CDO, managing complex schedules and expense reporting with precision.

Financial & Cultural Stewardship

  • Budget & Expense Management: Assist in the oversight of the Executive Office’s budget. Manage expense reports and procurement via QuickBooks (or comparable software), maintaining meticulous records.
  • Culture Advocacy: Partner closely with the Neighborly Department to ensure office initiatives—from Town Hall meetings to corporate celebrations—align with the Executive Team's vision and the CBA mission.
  • Foundation Support: Assist the CEO in duties related to the Christian Brothers Automotive Foundation, ensuring all philanthropic efforts are supported administratively.

Neighborly Department Support ("Utility Role")

  • Cross-Functional Utility Support: Act as an adaptable, hands-on resource across the organization, stepping in to fill various support gaps as needs arise across the Support Center.
  • Event & Operational Setup: Provide physical and logistical assistance for company events, meetings, and gatherings, including event layout, physical setup, tear-down, and on-site support. This will be a regular occurrence at the Support Center, and a priority support responsibility at off-site organization events.
  • Immediate & Hands-On Service: Deliver immediate, practical assistance on demand, ranging from ordering, organizing, and delivering meals for teams to providing immediate physical and administrative support across departments.
  • Living the "Good Neighbor" Mission: Embody the core mission of the Neighborly Department by fostering a welcoming, helpful, and community-minded environment for all staff, guests, and leadership.

Qualifications

Skills and Experience:

  • C-Suite Experience: Prior experience supporting multiple C-level executives (specifically CEO/CFO/CDO) in a fast-paced environment.
  • Servant Leadership & Adaptability: A flexible, service-oriented mindset eager to jump into various support roles within the Neighborly Department, from high-level tasks to hands-on physical event support and meal logistics.
  • The "Trust Factor": A proven history of handling highly confidential financial and strategic information with absolute discretion.
  • Prioritization Skills: Ability to juggle competing priorities between executive management and dynamic Support Center utility tasks while maintaining a calm, welcoming presence.
  • Technical Savvy: Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and QuickBooks (or comparable accounting software).
  • Communication: Exceptional written and oral communication; the ability to represent the Executive Team’s voice with professionalism and humility.

Physical Requirements:

  • Occasionally bending, twisting, and turning.
  • Sitting for extended periods of time.
  • Ability to lift and/or move up to 50 pounds (to support event set up, supply logistics, and Neighborly Department initiatives).

Workplace Environment:

  • This role will be located at the Support Center in Houston, TX.

  • Options to work remote/home on Mondays and Fridays.
  • Light travel is required—typically totaling less than 2 weeks per year.
  • Base Salary will be dependent upon the level of candidate match with the above qualifications.
