Front Desk Receptionist and Test Proctor

Stanbridge University is seeking a dependable, service-oriented Front Desk Receptionist and Test Proctor to support front desk operations, student and visitor services, and university testing activities. This position serves as an important first point of contact for students, applicants, visitors, faculty, and staff while helping ensure a professional, organized, and welcoming campus environment.

The ideal candidate is organized, personable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. This role requires strong customer service skills, professionalism, discretion, and the ability to work both independently and collaboratively.

Employment Status: Part-Time, Hourly, Non-Exempt Compensation: $21.00–$23.00 per hour, depending on experience Schedule: Monday–Thursday, 4:00 p.m.–8:00 p.m.; Saturday, 8:30 a.m.–2:00 p.m., with occasional Saturdays from 8:30 a.m.–4:30 p.m. Reports To: Associate Directors of Admissions

Essential Functions

  • Serve as a professional and welcoming first point of contact for students, applicants, visitors, faculty, and staff.
  • Manage front desk operations, including answering and directing telephone calls, greeting visitors, responding to general inquiries, and supporting routine campus communications.
  • Proctor university admissions, acceptance, and course make-up examinations in accordance with established testing procedures and standards.
  • Maintain an appropriate testing environment and ensure testing procedures are followed consistently.
  • Collect, organize, maintain, and track Admissions-related data, records, and documentation.
  • Maintain electronic and physical files for incoming cohorts, including identifying, tracking, and following up on missing documentation.
  • Prepare, review, and summarize departmental information and reports as requested by leadership.
  • Coordinate calendars and schedule appointments for department leadership.
  • Assist with the coordination and implementation of departmental meetings, events, and other functions.
  • Record accurate meeting minutes and distribute documentation as appropriate.
  • Provide coverage for the main reception desk as needed.
  • Participate in departmental projects and provide general administrative support as assigned.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in customer service, reception, administrative support, education, or a related environment preferred.
  • Strong customer service and interpersonal skills with the ability to interact professionally with diverse populations.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities, deadlines, and responsibilities simultaneously.
  • Proficiency with Microsoft Office, including Word and Excel, and the ability to learn university systems and technology.
  • Working knowledge of standard office procedures and equipment.
  • Ability to handle confidential or sensitive information with appropriate discretion.
  • Ability to work independently while contributing effectively within a team environment.
  • Dependable and able to consistently work the required evening and Saturday schedule.

  • Regular and reliable on-site attendance is required to perform the essential functions of the position.

Physical Demands

  • Regularly sits for extended periods and walks short distances throughout the workday.
  • Frequently uses hands and fingers to operate a computer keyboard, telephone, and other office equipment.
  • Must be able to communicate effectively in person and by telephone and visually review printed and electronic information.
  • Must be able to lift, carry, and/or move objects weighing up to 10 pounds.
