We are looking for a detail-oriented Import-Export Executive to manage import-export documentation, shipment paperwork, and coordination related to factory loading, dispatch, and logistics operations.

The role is suited for someone with practical experience in import-export documentation, logistics coordination, shipping paperwork, and record management. The ideal candidate should be organised, accurate, and comfortable coordinating with internal teams, transporters, logistics partners, and external stakeholders.

Requirements

Key Responsibilities

  • Handle day-to-day import-export documentation and maintain accurate transaction records.
  • Prepare and maintain invoices, packing lists, shipping documents, and other logistics paperwork.
  • Coordinate with internal teams to complete documentation required for factory loading and dispatch.
  • Ensure all required documents are prepared, verified, and available before shipment or dispatch.
  • Coordinate with transporters, logistics partners, and relevant external parties for smooth dispatch operations.
  • Maintain records of import-export transactions, shipments, dispatches, and supporting documentation.
  • Track and follow up on pending shipment and dispatch-related documents.
  • Assist in coordinating import and export shipments and ensure documentation is completed within required timelines.
  • Maintain organised physical and digital filing systems for import-export and logistics documents.
  • Support documentation related to factory loading, transportation, and dispatch activities.
  • Coordinate with relevant stakeholders to resolve documentation gaps or discrepancies.
  • Assist the team with additional import-export, logistics, and documentation requirements as needed.

What Makes You a Great Fit

  • 1+ years of relevant experience, preferably 2+ years, in Import-Export, logistics documentation, dispatch coordination, or a similar role.
  • Basic understanding of import-export processes and shipping documentation.
  • Familiarity with invoices, packing lists, shipment documents, dispatch records, and logistics paperwork.
  • Strong documentation, filing, and record-keeping skills.
  • Good attention to detail and accuracy when handling operational documents.
  • Strong coordination and follow-up skills with internal teams, transporters, and external stakeholders.
  • Basic proficiency in MS Office, particularly MS Excel and email communication.
  • Good verbal and written communication skills.
  • Ability to manage multiple documentation requirements and meet dispatch timelines.
  • Proactive approach to identifying missing information and following up for timely closure.
  • Ability to work effectively in a factory, logistics, or operations-oriented environment.
  • Graduate degree in any discipline is preferred.
