Key Responsibilities
Daily Clinic Operations
- Oversee day-to-day clinic operations, ensuring efficient workflows, patient flow, and staff coordination.
- Serve as the primary on-site leader, providing hands-on operational support.
- Identify opportunities to improve clinic efficiency, productivity, and patient satisfaction.
- Maintain a professional, organized, and patient-focused clinic environment.
Team Leadership & Staff Support
- Supervise and support front office personnel, Medical Assistants, and other clinical staff.
- Provide coaching, guidance, and day-to-day assistance to promote teamwork and accountability.
- Assist with staffing schedules, coverage adjustments, and operational needs to minimize disruptions to patient care.
- Foster a positive, respectful, and collaborative workplace culture.
Compliance & Quality Assurance
- Ensure adherence to organizational policies, procedures, and patient service standards.
- Maintain compliance with applicable federal and state healthcare regulations, including HIPAA.
- Support consistent implementation of operational processes and best practices.
Communication & Problem-Solving
- Serve as the primary point of contact for daily operational concerns and staff questions.
- Address workflow challenges, patient service issues, and staffing concerns promptly and professionally.
- Communicate effectively with clinical staff, providers, and leadership.
- Escalate complex operational matters to the Director of Operations when appropriate.
- Utilize operational data and reports to identify trends and recommend improvements.
Required Qualifications
- Minimum of 2 years of healthcare leadership or supervisory experience, such as Office Supervisor, Front Office Supervisor, Lead Medical Assistant, or a similar role.
- Previous experience working in a medical office, outpatient clinic, or healthcare practice.
- Strong organizational, time-management, and problem-solving skills.
- Demonstrated ability to supervise, motivate, and support administrative and clinical teams.
- Working knowledge of healthcare operations, patient scheduling, and clinic workflows.
- Familiarity with HIPAA and applicable healthcare regulations.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Experience using Electronic Medical Record (EMR) systems, including generating and reviewing reports.
- Strong verbal and written communication skills.
- Ability to analyze information, make sound decisions, and resolve operational challenges.
- Ability to build positive professional relationships while communicating clearly, respectfully, and directly.
- Comfortable working in a fast-paced healthcare environment while maintaining professionalism and attention to detail.
Preferred Qualifications
- Bilingual in English and Spanish strongly preferred.
- Experience supervising both front office and clinical support teams.
- Experience with EMR reporting, patient scheduling, and workflow optimization.
- Demonstrated success improving team performance, operational efficiency, and patient satisfaction.
- Ability to coach employees while maintaining a supportive and accountable team environment.
Work Environment
- Primarily based in an outpatient medical office environment in Goodyear, AZ.
- Regular interaction with patients, providers, administrative personnel, and clinical support staff.
- Requires the ability to manage multiple priorities and respond effectively to daily operational needs.
Physical Requirements
- Ability to stand for extended periods and perform repetitive movements.
- Ability to stoop, turn, bend, squat, and kneel as needed.
- Ability to lift up to 50 pounds.
- Normal or correctable vision and hearing sufficient to perform essential job duties.
