The posting

AJ Media builds, scales, and operates a portfolio of ecommerce brands end-to-end. This is an execution-focused administrative role supporting AJ Media's ecommerce store operations — the day-to-day admin work underneath what the COO/Operations function owns strategically. You'll handle storefront listing upkeep, order/fulfillment tracking, reporting support, and SOP maintenance across our brand portfolio. Strategic decisions stay with the COO.

About the Role

This role partners with the COO, who holds single-point accountability for taking AJ Media's brands from zero to fully operational. You won't just run the checklist; you'll decide whether it's the right checklist. You'll own operational reporting, analyze performance across launches, fulfillment, and customer service, and bring forward data-backed recommendations on how we operate. Final sign-offs stay with the COO, but you'll be expected to form a point of view, defend it with evidence, and help shape decisions.

What You'll Do

Operational Analysis & Reporting

  • Build and own operational dashboards and KPIs across the brand portfolio (fulfillment speed, order accuracy, return rates, CS response times, launch cycle time)
  • Analyze trends and anomalies, identify root causes, and present findings and recommendations to the COO
  • Benchmark performance across brands to spot best practices and underperforming areas
  • Run cost and efficiency analyses on vendors, tools, and workflows to support budget and prioritization decisions

Brand Launch & Merchant Setup

  • Assess launch readiness for new brands: evaluate setup status, flag risks, and recommend go/no-go timing to the COO
  • Prepare and quality-check merchant account applications, anticipating underwriting requirements and reducing rejection risk. Maintain and update the brand setup and compliance checklist — tracking status against requirements, not defining them
  • Maintain and improve the brand setup and compliance checklist, proposing updates as requirements, platforms, or lessons learned change
  • Purchase domains and set up brand-level admin tasks as instructed
  • Gather, organize, and prepare documentation for merchant account applications ahead of COO review and submission

Shopify & Platform Operations

  • Oversee store setup and integration status across the stack (payment gateways, email marketing, reviews, analytics, fulfillment), identifying gaps and dependencies before they become launch blockers
  • Lead pre-launch QA (checkout flows, order triggers, mobile performance, pixel/analytics firing), analyze failure patterns, and recommend fixes and process changes
  • Evaluate tools and integrations against operational needs and make recommendations on adoption or replacement

Process Design & Continuous Improvement

  • Own and continuously improve operational and launch SOPs, not just maintain them
  • Identify manual or repetitive work and propose automation or streamlined workflows
  • Run post-launch reviews to capture what worked, what didn't, and what should change next time

Requirements

  • 2–4 years of experience in operations analysis, business analysis, ecommerce operations, or a similar analytical role
  • Strong analytical and problem-solving skills, comfortable moving from raw data to a clear recommendation
  • Advanced spreadsheet skills (pivot tables, lookups, data modeling) and experience building dashboards or reports
  • Working knowledge of Shopify admin and ecommerce operations (orders, fulfillment, payments, integrations)
  • Strong written and verbal communication, able to present findings concisely and influence decisions with data
  • Structured thinker who can prioritize independently, spot risks early, and own outcomes in a fast-moving, remote environment

Preferred

  • Experience with SQL, Looker Studio, or other BI/reporting tools
  • Exposure to merchant account underwriting or payment processor requirements
  • Familiarity with the AJM stack
  • Experience with process mapping, SOP design, or workflow automation
  • Experience supporting multiple brands or entities simultaneously

Requirements

1-3 years of administrative, project-coordination, or ecommerce support experience

- Highly detail-oriented and organized, comfortable following checklists precisely and without dropping items

- Basic familiarity with Shopify at a listing/content-entry level (not developer level)

- Comfortable with spreadsheets, trackers, and basic dashboard monitoring

- Clear written communication for coordinating with vendors, developers, and internal team members

- Comfortable working with structured guidance and defined checklists — this is a supporting role, but can work autonomously

Preferred

- Exposure to merchant account or payment processor documentation

- Familiarity with the AJM our stacks: Shopify, Klaviyo, Gorgias, AirCall, CheckoutChamp a plus.

- Experience supporting multiple brands or entities simultaneously
