Our client is looking for an Operations Manager who actually wants to improve things.
Our client operates a profitable SaaS company with well-established foundations: operations run smoothly, finance closes on schedule, customer success is well-managed, and compliance is firmly in place. The challenge is no longer building these functions but optimizing them. Too many responsibilities have been consolidated under too few roles, and the current structure has reached its limit.
The outgoing Business Operations Manager spent years establishing solid systems, documented processes, and a reliable monthly cadence. What the company now needs is a successor who can look at every existing workflow with a critical eye and ask: what can be streamlined, automated, or eliminated entirely?
Requirements
You’ll own:
- Monthly financial close – P&L prep, revenue reconciliation, contractor invoices, payments processed
- Tax and compliance – Coordinating with our CPA, maintaining corporate records, managing insurance
- Business administration & legal operations – Customer contracts (DPAs, NDAs, SLAs), contractor agreements, onboarding, compensation tracking
- Systems & tooling – Managing QuickBooks, project trackers, password management, management-company tools, and other operational system
- Business administration support – Helping keep the CEO and broader business organized, including coordinating information, follow-ups, and recurring administrative tasks
- Ad-hoc project coordination – Helping drive various business projects from idea to completion, coordinating people and deadlines and making sure things don't fall through the crack
- Process improvement – Automation, updating SOPs, and proposing better ways to do things
The first month will feel familiar. By month two, you’ll have ideas. By month three, you’ll have implemented them.
Who We Think You Are
- You’ve done this before: at least 4 years running operations end-to-end—not just executing one step someone else designed.
- You’re financially literate: comfortable with QuickBooks or similar tools, able to produce an accurate P&L.
- You actually use AI tools: ChatGPT, Claude, or automation platforms in real workflows.
- You write well: clear, professional emails to lawyers, accountants, and internal stakeholders.
- You’re detail-oriented about things that matter: tax deadlines, legal consequences, confidential payment information.
- You want to improve things: you see a monthly checklist and think “why are we doing half of this?”
