We are seeking an outgoing, high-converting Patient Care Coordinator to join our dedicated team and serve as the primary advocate for new and prospective patients. In this role, your primary mission is to build trust, answer sensitive clinical inquiries, and proactively convert patient inquiries into booked consultations with a targeted 60%+ conversion rate. The ideal candidate possesses an exceptionally personable, confident phone demeanor, strong English communication, and a sales-minded approach to lead outreach and follow-up.
Key Responsibilities
- Manage high-volume inbound calls and execute proactive outbound follow-ups with new and prospective patient leads.
- Guide prospective patients through initial inquiries, explaining treatment options, answering questions, and building rapport to drive consultation bookings.
- Maintain a proactive follow-up cadence via phone, text, and email to meet or exceed the practice’s 60%+ consultation conversion target.
- Schedule and confirm appointments efficiently, sending visit preparation details and reminders via email and text.
- Track lead progress, log patient notes, and manage communication pipelines using GoHighLevel CRM and Weave VOIP.
- Deliver an empathetic, professional, and welcoming experience tailored to women's health and wellness patients.
Requirements
Experience: Minimum 1 year of medical office or virtual assistant experience in Functional Medicine, Gynecology, Dermatology, or Med Spa practices.
Skillset: Proven sales, intake conversion, or patient care coordination background with an ability to comfortably close consultation bookings.
Communication: Exceptional verbal and written English skills; highly personable, articulate, confident, and energetic over the phone.
Proactive Demeanor: Driven self-starter who excels at lead management, follow-up, and objection handling without sounding pushy.
Tech-Savvy: Hands-on experience or familiarity with GoHighLevel CRM and Weave VOIP platforms is highly preferred.
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 9AM - 5PM MON - FRI CST.
