The posting

Production Executive

We are looking for an organised and proactive Production Executive to coordinate video and photography shoots from pre-production through to final delivery. You will work closely with merchants, cast members, freelance videographers, photographers and editors to ensure each production runs smoothly, stays on schedule and meets the approved creative direction and quality standards.

Key Responsibilities

1. Pre-Production / Pre-Shoot

  • Coordinate shoot dates with merchants, confirming their availability, filming locations and any specific requirements.
  • Source, engage and coordinate freelance videographers and photographers, ensuring they are briefed on the scope of work, creative requirements, deliverables and timelines.
  • Arrange and coordinate cast members, including availability, call times, wardrobe requirements and shoot briefings. Prepare and circulate the daily shoot schedule and call sheet, including contact details, locations, scene breakdowns, arrival times and estimated filming durations.
  • Ensure merchants, cast and crew understand the approved storyboard, shot list and their respective responsibilities before the shoot.
  • Coordinate production logistics, including location access, props, equipment arrangements and other necessary preparations.

2. Production / Shoot Day

  • Manage the shoot schedule, ensuring filming progresses efficiently and starts and finishes on time.
  • Work closely with cast members, videographers and photographers to ensure the shoot follows the approved storyboard, shot list and creative brief.
  • Serve as the main coordination point between merchants, cast and crew, keeping everyone informed of the day’s progress and any changes.
  • Resolve on-site logistical issues and adjust arrangements where necessary to minimise delays and disruptions.
  • Check that all required scenes and shots have been captured before wrapping up, flagging any missing footage or quality concerns for immediate attention.

3. Post-Production / Post-Shoot

  • Manage and coordinate freelance video editors, providing clear editing briefs, footage, reference materials, deliverables and deadlines.
  • Track editing progress and coordinate feedback, revisions and approvals to ensure timely completion.
  • Review all video drafts and final deliverables to ensure they meet the approved storyboard, creative direction, brand guidelines and production standards.
  • Check the accuracy and quality of captions, graphics, audio, transitions and output formats before final submission.
  • Coordinate freelancer payment matters with Finance, including the submission and verification of invoices, agreed fees and supporting documents.
  • Arrange the delivery of approved content and maintain organised records of production files, footage, final assets and project documentation.

Requirements

Requirements

  • Previous experience in production coordination, video production, content creation or a related role is preferred.
  • Strong organisational and time-management skills, with the ability to coordinate multiple shoots and meet deadlines.
  • Clear communication and interpersonal skills, with confidence in working with merchants, cast members, freelancers and internal teams.
  • A working understanding of storyboards, shoot schedules and video production and editing workflows.
  • Good attention to detail and the ability to assess whether content meets an agreed brief and quality standards.
  • A proactive, resourceful approach to resolving problems and adapting to last-minute changes.
  • Ability to work independently while collaborating effectively with the wider production team.
