The posting

Promise is an early childhood-focused nonprofit working toward an abundant and just world where all children can fulfill their innate promise. We're looking for a Program Coordinator to strengthen the operational and data backbone across our expanding programs. You'll work primarily across two program areas: The Promise Fund and Changemaker Communities. Communities, which includes the Early Childhood Leaders of Color (EC LOC) Collaborative, Changemaker Studio, REST, and Regional Hubs. You'll also support cross-program working groups.

As our programs and communities grow, we need greater consistency, clarity, and follow-through across the systems that support them. You'll coordinate recurring program operations, keep participant and partner data accurate, support convenings, and help make sure commitments and follow-up don't fall through the cracks. By taking ownership of day-to-day operations, you'll enable our program leads to focus on strategy, relationships, program and community design, and quality.

This role sits within the Communities team and operates in a matrixed structure, supporting initiatives across both Communities and Fund programs. You'll report to the Managing Director of Changemaker Communities and collaborate closely with colleagues and project leads across both teams to advance shared priorities, coordinate activities, and strengthen connections across Promise's work. You'll travel approximately four times a year to support Fund convenings, REST, team retreats, and other key program activities.

We see this as an opportunity to grow your skills in data systems, event operations, and relationship management. When this role is working well, our program teams have reliable systems and information, and recurring operational work moves proactively. Participants and partners experience thoughtful, consistent support throughout their engagement with Promise.

Responsibilities

Data & Systems

  • Maintain accurate, current participant and engagement records in Salesforce and related program systems, including data entry, quality checks, and disaggregation across program areas
  • Maintain and improve documentation of data and program-management workflows; identify and resolve routine breakdowns or inefficiencies and elevate issues requiring program-lead decisions
  • Support onboarding of program participants and partners to Promise's tools and platforms

Program Operations Support

  • Support day-to-day administrative operations for program application, vetting, and selection processes, including materials tracking and coordination with reviewers or evaluators
  • Maintain program trackers and dashboards, flagging items that are overdue or need attention
  • Support administration of participant and stakeholder surveys, including distribution, tracking response rates, and basic compilation of results

Event Planning & Logistics

  • Coordinate logistics and scheduling for program convenings, working groups, and regional hub activities, including vendor and contractor coordination and preparing contracts for program leads' review and signature
  • Manage attendee logistics for larger convenings, including travel and lodging arrangements, in partnership with external vendors and travel partners

Relationship Coordination & Follow-Through

  • Maintain systems for tracking participant, alumni, venture, partner, and stakeholder touchpoints and commitments, proactively coordinating routine follow-up and flagging relationship-sensitive or strategic matters for program leads
  • Organize and share notes from meetings, working groups, coaching engagements, convenings, and partner conversations, tracking commitments and next steps so agreed-upon actions move forward

Learning & Reporting Support

  • Compile and summarize participation and engagement data into standard reports and dashboards for program leads and Development, flagging notable trends for leads to interpret
  • Gather and organize supporting materials (quotes, resources, participant stories) for program leads and Communications to use in reporting and storytelling

Requirements

  • Experience in administrative, coordination, operations, or logistics work is helpful but not required; we welcome experience from paid work, internships, volunteering, or community organizing
  • Strong organizational and project coordination skills, including managing multiple workstreams, keeping accurate records, anticipating deadlines, following through consistently, and knowing when to ask for guidance
  • Experience with a CRM or data-management platform (e.g., Salesforce) is preferred; if you haven't used one, a willingness to learn quickly is enough
  • Familiarity with web-design platforms (e.g., Squarespace, Lovable), event marketing, or community engagement and volunteer coordination is helpful
  • Strong relational and communication skills, including interacting thoughtfully and responsively with entrepreneurs, community leaders, funders, facilitators, partners, reviewers, and colleagues, and recognizing that operational interactions shape people's experience of Promise
  • Works cooperatively across program areas, communicates clearly, asks questions to confirm understanding, and adapts to support others' success
  • Approaches coordination and relationship management with humility, care, accessibility, and an equity orientation, recognizing differences in people's roles, identities, access, capacity, and experience
  • Comfort and flexibility with travel about four times a year to support convenings and events

Benefits

  • Medical, Vision, & Dental Insurance Plans
  • Mental Health & Wellness and Employee Assistance Program
  • Up to 12 weeks of Family and Medical Leave
  • Up to 24 weeks of Parental Leave
  • 401(k) Retirement Plan with Employer Automatic Contribution of 3%, plus Employer Match up to 3%
  • Health Reimbursement and Flexible Spending Accounts

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
