Role Purpose

The Senior Manager – Tenancy Design Management is responsible for leading district-wide tenancy design coordination, tenant integration activities, retail experience alignment, and lease-to-trade design support across assigned retail districts and developments within QIC’s retail portfolio.

The role operates across new developments, redevelopments, operational retail assets, and long-term asset evolution initiatives, supporting tenant integration, retail operability, customer experience alignment, design quality, operational readiness, and opening integration activities across the tenancy lifecycle.

Acting as the district operational lead within the tenancy design function, the role oversees district-wide tenant coordination, landlord and tenant design interface management, tenant design integration, experiential alignment, programme coordination, authority coordination support, and opening readiness activities across assigned districts.

The position is engaged from detailed design and delivery stage-gates through tenant onboarding, concept design, detailed design coordination, authority integration, fit-out integration, operational readiness, lease-to-trade activities, and ongoing operational asset support. Operating across complex multi-stakeholder environments, the role supports cross functional coordination between Development, Delivery, Leasing, Retail Design, Operations, Host BU’s, Operational Readiness, Asset Management, Legal, Finance, Relations, IT, Main Contractors, consultants, operators, tenant teams, authorities, and peer TD&D functions to ensure tenancy design activities remain operationally aligned, programme-driven, customer-focused, and integrated with district aspirations and retail objectives.

Key Responsibilities

1. District Tenancy Design Leadership & Design Coordination

• Lead district-wide tenancy design coordination activities across assigned retail districts and tenant programmes.

• Manage tenant integration activities between tenant design proposals, landlord design requirements, district aspirations, leasing objectives, operational considerations, and customer experience expectations. • Implement tenancy design standards, tenant-facing design guidance, retail integration methodologies, fit-out guidance principles, and lease-to-trade design practices across assigned districts and developments. • Coordinate landlord and tenant design interface activities relating to tenant onboarding, design integration, authority coordination support, experiential alignment, operational considerations, and opening readiness requirements. • Oversee district-wide tenancy design coordination activities relating to tenant onboarding, concept design reviews, detailed design coordination, authority interface support, fit-out integration, and operational transition activities. • Identify, manage, and escalate operational, programme, design coordination, authority interface, experiential alignment, and tenant integration risks impacting retail operability, customer experience outcomes, district identity, or opening readiness activities across assigned districts.

2. Development Integration, Delivery Coordination & Tenant Integration • Support tenancy design integration activities from detailed design and delivery stage-gates through operational readiness and ongoing operational asset support activities. • Coordinate with Development, Delivery, Leasing, Operations, and Host Business Units to ensure tenancy design requirements are incorporated into programme planning, operational coordination, tenant integration activities, and district experience objectives. • Support tenant integration planning, experiential alignment requirements, authority coordination activities, fit-out integration requirements, and opening readiness programmes during development and delivery stages. • Support tenant design integration activities across tenant onboarding, concept design, detailed design coordination, authority submissions, fit-out integration, operational readiness, and opening activities. • Monitor district-wide tenant coordination activities, design progress, operational readiness requirements, and opening readiness milestones across assigned districts. • Support resolution and escalation of tenant integration, design coordination, experiential alignment, authority coordination, and delivery sequencing issues impacting retail readiness or opening programmes.

3. Cross-functional Coordination & Stakeholder Management • Support cross-functional coordination relating to tenancy design activities across Development, Retail Design, Delivery, Leasing, Host BU’s, Operational Readiness, Asset Management, Legal, Finance, Government Relations, IT, consultants, operators, tenant teams, and authorities. • Coordinate with internal and external stakeholders to support tenant integration, customer experience alignment, design coordination, authority interface activities, and opening programmes. • Support alignment between tenancy design activities, district aspirations, operational requirements, landlord obligations, retail positioning objectives, customer experience expectations, and tenant opening programmes. • Maintain coordination across operational readiness activities, tenant integration requirements, design coordination activities, authority interface activities, and opening readiness processes across assigned districts. • Support district-wide coordination across peer TD&D functions to ensure alignment between tenancy design activities, technical integration, operational readiness requirements, lease-to-trade activities, and opening readiness programmes across assigned districts. • Support implementation of tenancy design standards, retail integration methodologies, tenant-facing guidance principles, and customer experience expectations across assigned retail districts and developments.

4. Operational Performance, Reporting & Design Excellence • Support operational performance, tenant coordination, and tenancy design consistency across assigned districts. • Monitor and report on tenancy design progress, operational readiness activities, authority coordination activities, programme milestones, tenant integration status, and opening readiness activities. • Support implementation of operational KPIs, reporting frameworks, service standards, and delivery tracking processes across tenancy design activities. • Support operational problem-solving and coordination relating to tenant integration, authority coordination, experiential alignment, fit-out integration, and opening readiness activities across assigned districts. • Promote best practices supporting high-quality tenant integration, customer experience outcomes, retail operability, district identity, and commercially aligned retail environments across assigned districts.

5. Innovation, Retail Integration & Operational Support • Support implementation and continuous improvement of tenancy design methodologies, tenant-facing guidance approaches, experiential alignment principles, and district retail integration requirements across assigned districts. • Remain informed on emerging retail, customer experience, lifestyle, placemaking, and experiential design trends relevant to evolving retail environments and customer expectations. • Support district tenancy design review discussions, tenant-facing coordination activities, and retail environment integration activities across assigned developments. • Coordinate with technical, operational, and delivery stakeholders to support retail operability, tenant integration, customer experience objectives, and operational transition activities. • Support implementation of digital workflows, reporting tools, operational coordination systems, and delivery tracking methodologies relating to tenancy design activities. • Contribute toward operational consistency, tenant coordination, experiential alignment, and tenancy design integration across the retail portfolio.

Requirements

  • Minimum 10+ years of progressive experience across tenancy design management, retail design coordination, tenant integration, mixed-use developments, or large-scale retail environments.
  • Experience operating within complex multi-stakeholder development and operational environments. Demonstrated experience supporting tenant integration, retail design coordination, operational readiness, and lease-to-trade activities across retail or mixed-use projects.
  • Experience supporting development integration, tenant onboarding, concept design, detailed design coordination, and operational delivery activities from detailed design onward.
  • Strong understanding of landlord and tenant design integration, retail positioning, customer experience principles, and experiential retail environments.
