Job Description:

Job Title: Coordinator, Global Partnerships & Experiences

Reporting To: Senior Director, Global Partnerships & Experiences

Department: Marketing

Location: Santa Monica, California

Your Mission

The Coordinator, Global Partnerships & Experiences will play a key role in supporting the team across its two core pillars: Strategic Partnerships and Marketing/Premier Employee Experiences. This team is a part of the Marketing organization.

This role will provide dedicated administrative, operational, and logistical support across the team, helping ensure programs, events, broadcasts, partner fulfillment and activations are organized and executed successfully. The Coordinator will work across a wide range of projects and stakeholders, gaining exposure to partnership development and fulfillment, live and broadcast production, experiential activations, and internal programming.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced, highly collaborative environment.

This position is based in our Santa Monica, California office and follows an in-office work model of four days per week. Working arrangements may evolve based on business needs.

What you bring to the table

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:

Experiences, Events & Broadcasts

  • Support scheduling, calendar management, and coordination for recurring programming, including internal broadcasts and other key programs, as well as one-off events and experiences.
  • Maintain the team's Project Tracker, ensuring timelines, dates, locations, owners, and key project information remain current and visible to stakeholders.
  • Coordinate across a variety of cross-functional teams to support project timelines, meetings, deliverables, and event execution.
  • Provide hands-on production support for live events, experiential activations, and broadcasts, including serving as a broadcast or production runner as needed.
  • Assist with vendor coordination, venue logistics, production schedules, guest and attendee logistics, and other event-related needs.
  • Support pre-production planning, onsite execution, and post-event wrap-up to help ensure programs run smoothly from start to finish.

Global Partnerships

  • Provide administrative and logistical support across the team's portfolio of global partner accounts.
  • Support Business Development efforts, including meeting coordination, materials preparation, research, and internal follow-ups.
  • Assist with partner fulfillment, helping track contractual deliverables, timelines, approvals, assets, and other partnership obligations.
  • Coordinate meetings and communications across internal stakeholders and external partners as needed.
  • Maintain organized records and trackers for partner activity, deliverables, and key milestones.

Team Operations & Administration

  • Provide administrative support for contracts, purchase orders, invoices, and other processes moving through the team.
  • Assist with budget tracking and reconciliation, maintaining accurate records of project and program expenses.
  • Coordinate with Finance, Procurement, Legal, and other internal teams to help move contracts, vendors, POs, and invoices through established processes.
  • Maintain team documentation, trackers, calendars, meeting notes, and other organizational resources.
  • Identify opportunities to improve team organization, processes, and workflows.

Minimum Requirements

  • Relevant experience (1+ year) in events, experiential marketing, partnerships, production, marketing, communications, or a related field; internships and equivalent experience welcomed.
  • Exceptional organizational skills and incredible attention to detail, with the ability to manage multiple tasks and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable working across many stakeholders, including senior leaders, cross-functional teams, external partners, agencies, vendors, and production teams.
  • Proactive, resourceful, curious and willing to jump in wherever needed to help the team succeed.
  • Ability to thrive in a fast-moving environment where priorities may shift quickly.
  • Experience with project management and collaboration tools and proficiency with Microsoft Office and Google Workspace.
  • Interest or experience in entertainment, gaming, technology, live events, partnerships, and/or experiential marketing.
  • Willingness to support events and broadcasts, including occasional early mornings, evenings, or travel as required.

What Success Looks Like

The successful Coordinator will become a trusted operational partner across the Global Partnerships & Experiences team—someone who helps keep projects moving, anticipates needs, brings organization to complex initiatives, and is equally comfortable supporting a partner meeting, creating presentation decks, tracking a budget, or jumping in to help execute an event.

Over time, this role offers the opportunity to develop experience across strategic partnerships, experiential marketing, live and broadcast production, and employee-facing programming, providing a strong foundation for growth within the Global Partnerships & Experiences organization.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
