What you'll do

  • Ensuring a smoothly functioning, tidy, and welcoming office environment on a day-to-day basis
  • Owning front-of-house activities, including visitor reception, meeting room readiness, and general office presentation
  • Managing office supplies, pantry stock, snacks, beverages, and recurring reorders to maintain uninterrupted operations
  • Coordinating catering for meetings, team events, and internal gatherings, including set-up and follow-up
  • Overseeing plant care, workplace aesthetics, and general office upkeep in coordination with internal teams and external vendors where needed
  • Receiving deliveries and packages, organizing incoming and outgoing mail, and ensuring internal distribution
  • Coordinating external providers such as cleaning services, catering partners, plant services, courier services, and other office-related vendors
  • Monitoring service quality, scheduling regular visits, and escalating issues when standards are not met
  • Supporting purchase requests, order tracking, and invoice coordination related to office operations
  • Supporting the organization of internal processes, smaller office projects, and team logistics
  • Maintaining office-related documentation, contact lists, room schedules, and operational checklists
  • Acting as the main point of contact for employees on practical day-to-day office matters
  • Identifying opportunities to improve office routines, hospitality standards, and the overall employee experience
  • Supporting the implementation of office standards related to cleanliness, order, and safe use of shared spaces
  • Helping ensure meeting rooms, common areas, kitchens, and storage areas remain functional and compliant with internal guidelines
  • Assisting with fire safety and evacuation-related administrative tasks, signage checks, and readiness of office spaces

Who you are

  • Several years of practical experience in office management, workplace operations, hospitality, or a comparable administrative role
  • Strong organizational skills and a hands-on mindset with the ability to manage multiple priorities reliably
  • A service-oriented, approachable personality with a natural focus on creating a positive workplace experience
  • Experience with visitor management, office supply coordination, catering, and vendor communication
  • Structured and independent work style with attention to detail and a strong sense of ownership
  • Confidence using common office tools and handling administrative follow-up
  • High level of reliability, discretion, and commitment to supporting the team effectively
