About the Role
We are seeking a Fleet & Transportation Manager to oversee safe, reliable and cost-effective transportation services for our residents and team members. Reporting to the Director of Facilities, this position will lead day-to-day transportation operations, driver scheduling and supervision, fleet maintenance coordination, compliance, and transportation planning.
This is an important leadership role that directly supports our residents by ensuring dependable transportation for medical appointments, outings, special events, and other community needs, while also managing employee shuttle services.
The ideal candidate is an organized, safety-minded leader who enjoys solving logistical challenges, supporting a team, and providing exceptional service to residents.
Compensation: $70,000 - $90,000 / Annually DOE
What You’ll Do
Transportation Operations
- Manage daily resident transportation and employee shuttle schedules, routes, trip requests, and driver/vehicle assignments.
- Partner with Resident Services to coordinate transportation for medical appointments, outings, special events, and accessibility needs.
- Establish and maintain clear procedures for requesting, confirming, changing, and canceling transportation.
- Respond quickly to scheduling conflicts, service disruptions, and unexpected staffing or vehicle issues.
- Monitor on-time performance, missed trips, shuttle usage, and resident/team member feedback to continuously improve service.
Driver Leadership
- Recruit, onboard, schedule, supervise, coach, and evaluate assigned drivers.
- Ensure appropriate driver coverage, including qualified relief and emergency backup drivers.
- Coordinate required driver training, licensing, and safety education.
- Provide training and guidance related to safe driving, passenger assistance, accessibility equipment, and incident response.
- Address performance and conduct concerns in accordance with community policies.
Fleet & Safety Management
- Oversee vehicle readiness, preventive maintenance, repairs, registration, insurance coordination, and replacement planning.
- Coordinate fleet maintenance with assigned technicians and outside service providers.
- Maintain accurate vehicle, maintenance, inspection, driver qualification, and training records.
- Monitor vehicle mileage, utilization, condition, and operating costs and make recommendations regarding fleet needs.
- Help ensure readiness for applicable inspections and transportation regulatory requirements.
- Respond to accidents, incidents, and near misses, including reporting, documentation, and corrective action.
Budget, Vendors & Reporting
- Develop and manage the transportation and fleet budget in partnership with the Director of Facilities.
- Monitor fuel, maintenance, parts, vendor, and transportation expenses.
- Manage transportation and maintenance vendors and evaluate service performance.
- Prepare reports related to vehicle availability, maintenance, staffing, service reliability, incidents, ridership, and program costs.
- Participate in emergency preparedness and transportation response planning.
What We’re Looking For
- 3+ years of experience in fleet management, transportation, dispatch operations, or a related supervisory role.
- Experience supervising employees and managing driver schedules and transportation operations.
- Experience coordinating vehicle maintenance and working with vendors.
- Strong organizational, communication, problem-solving, and recordkeeping skills.
- Knowledge of vehicle safety, driver qualifications, and applicable transportation requirements.
- Ability to balance safety, resident service, staffing, and operational costs.
- Proficiency with Microsoft Office or similar software and the ability to learn scheduling/fleet management systems.
- Valid driver's license and ability to meet the community's driving eligibility requirements.
Preferred Qualifications
- Experience in senior living, healthcare, hospitality, or another resident/customer-focused environment.
- Experience developing or improving a transportation or shuttle program.
- CDL or willingness to obtain a CDL if required for relief driving.
- Bachelor's degree in business, operations, logistics, or a related field, or equivalent experience.
