About the location:

Four Seasons Resort and Residences Dominican Republic at Tropicalia will feature 95 keys and 25 branded residential homes, 8 distinct F&B outlets, all thoughtfully designed to reflect a contemporary interpretation of the Dominican Republic’s natural beauty. Wellness will be a defining pillar of the property, delivering a holistic experience that harmonizes with the natural environment while enhancing overall wellbeing through the restorative power of nature. The sustainable luxury destination is located on a 60-acre (24 hectare) site along the pristine beachfront of Playa Esmeralda in northeastern Dominican Republic, along the southern shores of Samaná Bay. A site of breathtaking natural beauty, Tropicalia is home to a diverse ecosystem of white-sand beaches; crystalline, aquamarine water and coral reefs; mountains, forests, mangroves, lagoons and rivers; a working coconut plantation; and an organic farm.

About the Role

Four Seasons Resort and Residences Dominican Republic at Tropicalia is seeking an Executive Administrative Assistant to join our pre-opening team. Reporting to the General Manager, this position will provide high-level administrative and organizational support to the General Manager and Executive Office, ensuring the efficient coordination of communications, meetings, travel and key property initiatives while maintaining the highest standards of confidentiality and professionalism.

What You Will Do

  • Provide comprehensive administrative support to the General Manager and coordinate the daily activities of the Executive Office.
  • Manage the General Manager’s calendar, appointments, meetings and priorities, anticipating potential conflicts and ensuring effective use of time.
  • Coordinate Executive Committee and leadership meetings, including preparing agendas, presentations and supporting materials; taking minutes; and following up on agreed action items.
  • Draft, review, format and distribute correspondence, reports, presentations and other documents in English and Spanish.
  • Manage confidential and sensitive information with discretion, sound judgment and professionalism.
  • Coordinate domestic and international travel arrangements, itineraries, accommodation and transportation for the General Manager and other senior leaders, as required.
  • Prepare and process expense reports, purchase requests and invoices while maintaining accurate administrative and financial records.
  • Serve as a professional point of contact between the General Manager, employees, owners, corporate and regional offices, business partners and other internal and external stakeholders.
  • Support the planning and coordination of property visits, leadership events, inspections, meetings and special projects.
  • Maintain organized electronic and physical filing systems, contact lists, calendars and Executive Office records.
  • Support pre-opening priorities by tracking deadlines, coordinating follow-ups and assisting with cross-functional projects involving multiple departments.
  • Respond to inquiries and requests promptly, professionally and in accordance with Four Seasons standards.

What You Bring

  • University degree or technical qualification in Business Administration, Hospitality Management, Communications or a related field.
  • A minimum of three years of administrative or executive-support experience, preferably supporting senior leadership within a luxury hotel, hospitality or international business environment.
  • Excellent written and verbal communication skills in both English and Spanish.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint, with strong document-preparation and presentation skills.
  • Exceptional organizational skills, attention to detail, discretion and the ability to manage multiple priorities in a fast-paced environment with minimal supervision.

Schedule & Hours

  • This is a full-time position.
  • The primary schedule will be during regular business hours; however, flexibility to work early mornings, evenings, weekends or public holidays may be required based on meetings, events, travel schedules and operational needs.

Work Authorization

Candidates must be legally eligible to work in the Dominican Republic or able to meet the applicable immigration and work-permit requirements.
