Job Description

We are looking for a detail-oriented and organised Sales Admin Assistant to support our sales team in daily administrative operations, customer coordination, order processing and documentation. The successful candidate should be comfortable handling multiple tasks, maintaining accurate records and communicating professionally with customers and internal departments.

Key Responsibilities

  • Provide administrative support to the sales team and management.
  • Prepare quotations, sales orders, invoices, delivery orders and other sales-related documents.
  • Process customer orders and follow up on order status, deliveries and outstanding payments.
  • Maintain accurate customer records, sales databases and filing systems.
  • Respond to customer enquiries and coordinate with customers, suppliers and internal departments.
  • Assist in preparing sales reports, data entry and monthly sales summaries.
  • Coordinate with the warehouse, logistics and accounts departments to ensure smooth order fulfilment.
  • Monitor outstanding orders and follow up on pending documentation.
  • Perform general administrative duties and other reasonable work-related tasks assigned by the supervisor.

Job Requirements

  • Minimum GCE N-Level, O-Level, NITEC or equivalent qualification; relevant experience will be considered.
  • Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Good organisational skills with strong attention to detail and accuracy.
  • Good written and verbal communication skills relevant to customer service and administrative duties.
  • Able to manage multiple tasks, meet deadlines and work independently as well as in a team.
  • Responsible, willing to learn and able to maintain confidentiality when handling company and customer information.
  • Previous experience in sales administration, order processing or general office administration is an advantage but not essential.
