The posting

We're seeking a highly organized, proactive Executive Assistant to support a founder-level leader in a professional services environment. This role focuses on optimizing schedules, managing communication, and keeping projects and outreach initiatives moving forward.

Executive & Administrative Support

  • Manage and organize the Executive's inboxes; label and flag important emails and action items so nothing is missed
  • Maintain calendars, appointments, reminders, and scheduling
  • Add and organize contacts, members, and client information
  • Coordinate travel logistics and other administrative-related tasks (flights, daily meal arrangements)
  • Support ongoing operational and administrative tasks

Experience

  • 2+ years of experience as an Executive Assistant, Virtual Assistant, or similar support role
  • Experience supporting a founder, CEO, or senior executive directly
  • Experience managing a high-volume inbox and complex, shifting calendars
  • Experience coordinating domestic and/or international travel logistics
  • Background in a professional services environment (consulting, legal, financial, coaching, or similar) preferred
  • Experience supporting content, social media, or outreach initiatives is a plus
  • Track record of working independently in a remote, asynchronous role

Requirements

  • Mac-proficient (iMessage, macOS environment); prior experience preferred
  • Excellent written English with a warm, professional tone
  • Proactive self-starter with strong judgment and problem-solving ability
  • Reliable, responsive, and detail-oriented
  • Quick to learn and adapt to new tools and systems
  • Organized, creative, dependable, and eager to grow
