Job Overview

We are looking for a detail-oriented HR & Admin Executive to support employee records, attendance, payroll data preparation, insurance, and daily HR administration. You will coordinate with colleagues in Singapore and China and use AI tools to improve daily work efficiency.

Key Responsibilities

HR Administration

Manage employee records, onboarding and offboarding, HR system updates, and employment documents; support HR policy communication.

Attendance & Leave Management

Check attendance, working hours, overtime, and leave records; follow up on discrepancies with employees and managers and prepare attendance reports.

Payroll Support

Prepare and verify monthly attendance, overtime, allowance, leave, and salary adjustment data; submit payroll summaries for HR review and approval, resolve discrepancies, and maintain records.

Insurance Administration

Maintain employee and company insurance records; coordinate applications, renewals, and medical or workplace injury claims with insurers or brokers.

General HR & Administrative Support

Prepare HR reports and administrative documents, coordinate daily HR matters, and support improvements to HR systems and processes.

Requirements

  • Diploma or equivalent in HR, Business Administration, or a related field; 2–3 years of relevant experience.
  • Familiar with attendance and leave management and basic Singapore employment and CPF requirements; payroll support experience preferred.
  • Proficient in Excel and HR systems; able to organize and check data accurately.
  • Good English and Mandarin for daily coordination with colleagues in Singapore and China.
  • Able to use AI tools such as ChatGPT, Claude, or Gemini for drafting, translation, information summaries, and spreadsheet assistance, and check outputs for accuracy.
  • Detail-oriented, responsible, and able to follow up independently, with good communication skills and respect for employee confidentiality.
