Join our team as an Administrative Manager in Jupiter!
Essential job duties and responsibilities:
- This individual will assist with coordination of all office events and business-related activities.
- Will act as point of contact for new hires and will lead committees and programs at the office level.
- Approve timecards and time off for the office.
- Serve as point of contact for office administrative needs such as scheduling meetings, building maintenance needs and supply handling.
- This role will also handle mail distribution, answering phone lines and stocking supplies.
- May assist with expense reporting and tech support.
- Office support for vendor relationships.
- Manage Reception for office by kindly greeting guests and providing general support to all visitors.
- Effectively communicate by e-mail, telephone and written correspondence with any information pertaining to the office.
- Provide office support services such as fax, scanning, photocopying, compilation and distribution of materials.
- Manage the shipping and receiving of FedEx packages.
- Act as the main point of contact for building management and input maintenance requests as needed.
- Manage local employees badge access.
- Order all office and kitchen supplies including applicable food and beverage items.
- Ensure conference rooms, supply rooms, breakrooms, and restrooms are always neat, stocked and maintained.
- Act as the main point of contact for conference room reservations and assist with resolving any reservation conflicts.
- Prepare office meetings and events including placing orders for breakfast and lunch for meetings as needed.
- Prepare expense reports for Producers as needed.
- Coordinate and provide logistical support for offsite events and business-related activities.
- Manage office and workspace assignments, including seating allocation, moves and space utilization.
- Serve as division liaison, coordinating communication and requests between the office and division leadership and support functions.
- Serve as internal liaison across departments and teams to facilitate communication, coordination and workflow.
- Coordinate office committees, including scheduling, agendas and tracking of committee objectives.
- Support licensing administration, including tracking, renewals and maintenance of required licenses and related records.
- Support Branch Leadership with other duties as assigned.
- Travel booking: Arranging travel plans for employees as needed to facilitate business trips.
Knowledge and Experience:
- Two to three years of experience, preferably in an office environment; experience supporting an office of approximately 30-35 people preferred.
- Associate's or Bachelor's degree preferred.
Necessary Skills and Attributes:
- Knowledge of computer software packages including Outlook, Word and Excel.
- Well-developed oral and written communication skills, in person and by phone.
- Knowledge of office procedures, practices and equipment.
- Heavy word processing/keying required.
- Organize tasks effectively and efficiently.
- Ability to multi-task and handle competing priorities in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Sense of urgency.
- Willingness to take on challenges.
- Positive, helpful attitude toward visitors and employees.
