The posting
Book clubs can travel together. Fitness instructors can take their students on destination retreats. Churches can organize cruises. Alumni groups can plan reunions. Dance studios, sports teams, professional organizations, and hobby clubs can turn a shared interest into a memorable group experience.
The Remote Group Getaway Organizer helps group leaders transform an idea into a structured vacation their members can join.
This role is designed for someone who enjoys bringing people together, managing moving parts, and communicating with a group without becoming overwhelmed.
How the Process Works
You will begin with the group leader—not every individual traveler. Together, you will identify the purpose of the trip, estimated attendance, preferred dates, departure options, budget range, and activities connected to the group's interests.
You may then evaluate cruises, resorts, hotels, meeting spaces, group dining, transportation, and private activities. Once an option is selected, you will help establish a registration process and a clear communication schedule.
Your Responsibilities
- Consult with club leaders, instructors, coaches, organizations, and family representatives.
- Help define the theme, purpose, dates, budget, and size of each group trip.
- Research destinations and properties that can accommodate the group.
- Request and review available group rates, space, and reservation terms.
- Create clear trip summaries that group leaders can share with participants.
- Establish deposit, registration, and final-payment timelines.
- Track participant interest and reservation progress.
- Maintain rooming lists and traveler information.
- Prepare group announcements, reminders, and frequently asked questions.
- Coordinate available meeting areas, group dining, activities, or private events.
- Communicate with the primary group leader to prevent conflicting instructions.
- Help organize pre-trip information sessions when appropriate.
- Develop relationships with local clubs and organizations that may travel in the future.
