Faculty Development Specialist - School of Medicine

The Coordinator of Faculty Development supports the BYU School of Medicine by planning and executing faculty development programs, managing faculty affairs workflows, and maintaining accurate records for required faculty certifications, licenses, training, and development activities. This position coordinates initiatives that promote faculty success in scholarship, teaching, leadership, and citizenship. This position also contributes to a spiritually grounded and scientifically rigorous medical education by supporting faculty development that enables all faculty at the School of Medicine to develop physicians who will minister to God’s children throughout the world as healers, teachers, researchers, leaders, and disciples of Jesus Christ.

This position is critical to the success of the BYU School of Medicine, a newly established organization within the university. As the school continues to launch and grow, a successful candidate must demonstrate adaptability and a willingness to take on evolving responsibilities and assignments to support its effective implementation and ongoing operations.

What you'll do in this role:

Plan and execute faculty development events and programs

  • Coordinate workshops, seminars, retreats, onboarding sessions, conferences, speaker events, and other faculty development activities.
  • Manage event logistics including scheduling, room reservations, registration, communications, catering, materials, speaker coordination, technology needs, and day-of-event support.
  • Track attendance, collect evaluations, summarize feedback, and recommend improvements to faculty development programming.

Track faculty requirements, certifications, licenses, and development records

  • Maintain accurate records of required faculty certifications, licenses, trainings, compliance items, and faculty development participation.
  • Develop and maintain tracking systems, calendars, checklists, and reports to support timely completion of requirements.
  • Follow up with faculty and departments regarding missing, expiring, or incomplete documentation.

Facilitate faculty rank and status processes

  • Coordinate with Office of Faculty staff to support timelines, documentation, communications, committee materials, agendas, minutes, and decision-tracking for rank and status processes.
  • Assist faculty with process instructions, required materials, and submission deadlines while maintaining confidentiality and accuracy.
  • Support consistent application of school and university policies and maintain organized records for review cycles.

Support faculty success in scholarship, teaching, leadership, and citizenship

  • Coordinate faculty success initiatives, mentoring activities, development resources, and recognition efforts.
  • Assist with communications, resource development, and data collection related to scholarship, teaching effectiveness, leadership development, and citizenship contributions.
  • Help identify gaps in faculty development participation or support needs and assist with continuous improvement efforts.

Provide administrative and operational support for faculty affairs

  • Prepare correspondence, agendas, reports, presentations, process guides, web or newsletter content, and other materials for faculty and faculty development activities.
  • Respond professionally to faculty, staff, administrators, and external partners; route questions appropriately; and support special projects as assigned.
  • Maintain confidential files and perform other related duties consistent with the needs of the School of Medicine.

What qualifies you for this role:

Required

  • Bachelor's degree in education, higher education administration, health professions education, business administration, communications, public administration, organizational leadership, or a related field; an equivalent combination of education and 5 years of relevant experience may be considered.
  • Experience planning, coordinating, and executing complex meetings, trainings, workshops, conferences, retreats, or large-scale professional development events.
  • Experience managing multiple projects, deadlines, calendars, stakeholders, and logistical details simultaneously.
  • Experience providing administrative, program, or operational support in a professional office setting.
  • Experience tracking confidential information, maintaining accurate records, preparing reports, and following up on required documentation.
  • Experience using Microsoft Office, Google Workspace, database systems, learning management systems, event registration platforms, or similar productivity and tracking tools.
  • Plan and execute events, including venues, scheduling, registration, catering, materials, speakers, communications, and day-of logistics.
  • Manage projects independently with strong organization, attention to detail, prioritization, and follow-through.
  • Create and maintain accurate tracking systems, calendars, reports, spreadsheets, checklists, and documentation workflows.
  • Communicate effectively and provide professional, responsive support to faculty, staff, administrators, partners, and speakers.
  • Exercise confidentiality, sound judgment, policy compliance, problem-solving.
  • Commitment to BYU mission, values, and standards of professional conduct.

Preferred

  • Master's degree in higher education administration, health professions education, educational leadership, organizational development, public health, business administration, or a related field.
  • Experience in a university, medical school, healthcare, graduate medical education, or academic affairs environment.
  • Experience working with faculty, administrators, professionals, or other high-level stakeholders in a service-oriented environment.
  • Experience supporting faculty development, faculty affairs, continuing education, credentialing, compliance, accreditation, promotion, tenure, rank advancement, or continuing faculty status processes.
  • Experience assisting with tracking faculty certifications, licenses, trainings, professional development activities, teaching qualifications, or compliance-related requirements.
  • Experience supporting scholarship, teaching development, leadership development, mentoring programs, or faculty success initiatives.
  • Experience preparing agendas, minutes, presentation materials, communications, timelines, process guides, and decision-tracking documents for committees or leadership groups.
  • Experience coordinating confidential review processes involving sensitive personnel, academic, or professional documentation.
  • Knowledge of faculty development best practices in academic medicine or higher education.
  • Knowledge of rank advancement, promotion, tenure, continuing faculty status, annual review, or faculty evaluation processes.
  • Knowledge of medical education accreditation, faculty credentialing, continuing medical education, clinical faculty onboarding, or health professions education standards.
  • Ability to analyze faculty development participation data, identify gaps, and support continuous improvement of programs and processes.
  • Ability to coordinate committees, manage review cycles, prepare faculty-facing instructions, and support process transparency.
  • Skill in developing professional communications, newsletters, web content, training materials, faculty resources, and event promotion materials.
  • Comfort learning new systems and improving workflows for faculty tracking, documentation, reporting, and event management.

Pay Grade: 48

Typical Starting Pay: $20.75 - $27.00 per hour ($43,500 - $56,500 annually)

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
