Job Description – Process Implementation Engineer

Reporting To: Group General Manager Location: Not specified

Overall Purpose of the Role

The Process Implementation Engineer will lead the end-to-end implementation of a new Purchase Ordering (PO) and Stock Control software system across the company, integrating it with the existing Sage Accounting software.

This role combines technical configuration, process engineering, data migration, and hands-on training delivery.

The candidate will act as the central point of coordination between the software vendor, Finance, Procurement, and Operational teams to ensure the system is correctly installed, fully adopted, and embedded into daily business processes across several company subsidiaries.

Initially, the role will involve comparing different software providers in the market from both operational and financial perspectives, enabling the directors to make an informed decision on the software selection.

Key Responsibilities

1. System Comparison & Cost Analysis

  • Present at least three different software options that meet the company's requirements.
  • Ensure the proposed software options are compatible with each other, covering PO ordering, Stock Control, and the existing Sage Accounting software.
  • Provide an accurate breakdown of initial implementation costs and annual subscription fees.

2. System Implementation & Configuration

  • Oversee the full deployment of the Purchase Ordering and Stock Control software across the business.
  • Plan and execute implementation in a staggered manner, prioritising Purchase Ordering in one subsidiary before rolling it out across the entire group.
  • Configure system workflows, approval hierarchies, chart of accounts, cost centres, and user permissions.
  • Develop and document standardised PO, invoicing, and reconciliation processes.
  • Act as the technical liaison with the software provider during installation and setup.
  • Customise system settings to meet UK GAAP and HMRC-compliant accounting requirements.

3. Training & Change Management

  • Create comprehensive user training materials, including guides and step-by-step workflows.
  • Deliver training sessions for Finance, Procurement, Operations, and Senior Management.
  • Support staff during go-live by providing on-site assistance and troubleshooting.
  • Promote system adoption across all departments and ensure policy compliance.
  • Monitor system performance and user behaviour during the initial adoption phase.

4. Ongoing Support & Continuous Improvement

  • Act as the internal expert for all aspects of the procurement and accounting software.
  • Review performance data and implement further refinements and automation.
  • Ensure documentation remains up to date, including SOPs, process maps, and workflows.
  • Support audits, financial controls testing, and compliance checks.

Required Skills & Experience

1. Technical Skills

  • Experience implementing purchase ordering or accounting systems such as Sage, Sicon, Piranah, Odoo, SAP Business One, Oracle, etc.
  • Strong understanding of UK accounting principles, Accounts Payable (AP) / Accounts Receivable (AR) processes, and procurement workflows.
  • Data manipulation skills, including Excel, CSV formatting, and basic SQL (desirable).
  • Experience with system integrations and middleware; API knowledge is an advantage.

2. Qualifications & Professional Experience

  • Proven background in process engineering, systems implementation, business analysis, or finance transformation.
  • Experience leading operational or finance system rollouts in a UK business.
  • Hands-on involvement in User Acceptance Testing (UAT), data migration, and user training.

Remuneration

  • £50,000 per annum.
  • Bonus payable at the implementation stage.

Measures of Success – KPIs

  • Identify and present the software cross-comparison within the first 30 days.
  • Ensure the software decision is made and the first-stage implementation is scheduled within the first 60 days.
  • Complete Phase 1 implementation within the first 90 days.

Key Relationships

  • Group Financial Controller.
  • Group General Manager.
  • Managing Director.

Purchase Ordering & Stock Control Process

Stage 1: Purchase Order Creation

  • Purchase orders are created through the software programme.
  • Orders are approved by the identified approver.

Stage 2: Goods Receipt & Stock Management

  • Received items are added to the stock inventory software and marked for payment.
  • Alternatively, items that do not require stock entry can be directly marked for payment upon receipt.

Stage 3: Invoice Processing & Payment

  • Accounts receive the invoice, which is electronically imported into the software platform.
  • The invoice is matched against the purchase order, showing the item as received.
  • The invoice can then be moved to the suggested payment run.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
