With over 100 robots deployed and actively transforming construction sites worldwide, we’re redefining efficiency, safety, and precision in the field. Backed by top-tier investors, Civ Robotics is a fast-growing startup headquartered in San Francisco, founded by industry experts with deep construction experience. Join us in building the future of construction automation and be part of a team that’s shaping the next generation of robotics.

About the Role We’re looking for a friendly, organized, and proactive Office & Operations Coordinator to help keep our San Francisco office running smoothly and create a welcoming, enjoyable workplace for our team. You’ll be the go-to person for day-to-day office needs, from managing supplies and coordinating vendors to organizing team lunches, welcoming visitors, and supporting company events. This is a hands-on role for someone who enjoys wearing multiple hats, takes initiative, and is happy to jump in wherever help is needed. We’re looking for someone who can work independently, stay on top of the details, and help make our office a great place to work.

The position will start as part-time, with the potential to grow into a full-time role and expand into other areas such as Operations, Marketing, or Sales as the company continues to grow.

What You’ll Do

Office Operations & Facilities

Manage day-to-day office operations, ensuring everything runs smoothly. Keep the office clean, organized, welcoming, and well-stocked with snacks, beverages, and supplies. Manage inventory, place orders, and coordinate deliveries. Coordinate with vendors and service providers, including cleaning, maintenance, IT, and other office-related services. Identify opportunities to improve office processes and organization.

Team Experience & Events

Organize weekly team lunches, celebrations, and occasional company events. Help create a positive, welcoming, and enjoyable office environment. Support new employee onboarding by preparing workstations, welcome kits, and other first-day essentials. Assist with coordinating internal meetings, team activities, and special projects.

Administrative & Operational Support

Manage incoming mail, packages, and deliveries. Process vendor invoices, track office expenses, and coordinate payments. Assist with travel arrangements, accommodations, and meeting logistics as needed. Maintain organized records and documentation related to office operations. Provide general administrative and operational support to the team and leadership.

Visitors & Customer Demos

Welcome customers, partners, candidates, and other office visitors. Coordinate meeting rooms, refreshments, and logistics for customer visits and product demonstrations. Help prepare office spaces and equipment for meetings and demos.

What We’re Looking For

1–2 years of experience in office coordination, office management, administrative support, or a similar role. Excellent organizational skills, attention to detail, and time management. A proactive, resourceful, and hands-on approach — someone who notices what needs to be done and takes initiative. Strong communication and interpersonal skills, with a friendly, positive, and helpful attitude. Ability to multitask, prioritize effectively, and work independently. Comfortable using Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and other common workplace tools. Flexibility and adaptability to thrive in a dynamic startup environment. Availability to work on-site at our San Francisco office.

Nice to Have

Previous experience working at a startup or supporting a small, growing team. Experience coordinating company events, travel, or employee activities. Familiarity with expense management, invoicing, or basic accounting tools. Interest in growing into broader responsibilities in Operations, Marketing, Sales, or other areas of the business.

Why Join Civ Robotics?

Make an impact: Play an important role in shaping the day-to-day experience of our growing team. Room to grow: Start part-time, with the potential to transition into a full-time position and expand your responsibilities. Exciting industry: Be part of an innovative robotics company transforming the construction industry. Great team: Work alongside a collaborative, passionate, and down-to-earth group of people. Startup environment: Enjoy a dynamic workplace where your ideas, initiative, and contributions truly matter.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
