We are seeking an experienced and detail-oriented Documentation Supervisor to lead our Documentation function in Bangkok. This is an excellent opportunity for a freight forwarding professional with strong ocean freight documentation expertise and leadership experience to play a critical role in ensuring operational excellence and customer satisfaction.
As Documentation Supervisor, you will oversee the preparation, validation, and submission of shipping documentation for ocean freight shipments, manage a team of Documentation Officers, and ensure compliance with customer, carrier, and regulatory requirements. You will also drive process improvements, develop team capabilities, and act as the primary escalation point for documentation-related issues.
What You'll Be Doing
- Lead and coordinate the daily activities and workload of the Documentation Officer team.
- Manage your own portfolio of ocean freight documentation submissions.
- Oversee the preparation, review, and submission of Shipping Instructions (SI) and Sea Waybills (SWB).
- Ensure shipment documentation is accurate, compliant, and submitted within carrier deadlines.
- Validate Sea Waybills against booking details and shipping instructions before release.
- Serve as the primary liaison with customs agents regarding documentation handovers and requirements.
- Monitor documentation cut-off schedules and proactively manage exceptions.
- Review team output and implement corrective actions where necessary.
- Investigate and resolve documentation discrepancies, carrier rejections, and operational issues.
- Support onboarding, training, and ongoing development of Documentation Officers.
- Maintain and continuously improve documentation processes and standard operating procedures.
- Track and report team performance, KPIs, and documentation trends to management.
Who We're Looking For
Required Qualifications
- Minimum 4 years of experience in ocean freight documentation within freight forwarding, shipping, or logistics environments.
- Strong expertise in Shipping Instructions (SI), Sea Waybills (SWB), and customs documentation processes.
- Previous experience in a supervisory, team leader, or similar leadership role.
- Solid understanding of documentation responsibilities within the freight forwarding process and interactions with customs agents.
- Excellent written and verbal communication skills in both Thai and English.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities.
Preferred Qualifications
- Experience using freight documentation systems and carrier platforms.
- Familiarity with Certificates of Origin, Health Certificates, and other trade compliance documentation.
- Knowledge of Thai customs regulations and port documentation requirements.
