That events are more than schedules and room setups—they are meaningful moments for the people attending them. That great service means listening carefully, anticipating needs, and delivering on every commitment. That clear and timely communication between clients, Sales, Culinary, Banquets, Front Office, Housekeeping, and hotel leadership is essential. That accurate Banquet Event Orders are the foundation of smooth event execution. That organization and preparation allow creativity and hospitality to shine. Guiding clients through the planning process from contract turnover through event completion. Building genuine relationships and becoming a trusted resource for meeting planners, corporate clients, wedding couples, and social-event hosts. Learning each client’s vision, priorities, timeline, and budget. Creating accurate and detailed Banquet Event Orders, diagrams, resumes, timelines, and other event documents. Coordinating guest-room blocks, meeting spaces, menus, audiovisual needs, billing arrangements, transportation, amenities, and special requests. Leading pre-convention and planning meetings to confirm expectations and prepare hotel teams for success. Communicating event details, changes, deadlines, and responsibilities clearly and promptly. Partnering with Culinary and Banquets to ensure menus, service timing, staffing, room setups, and event flow meet client expectations. Reviewing upcoming business and distributing event information within established timelines. Being present during events to welcome clients, monitor execution, and respond quickly when needs arise. Conducting site tours and helping clients envision their event at The Ricardo. Identifying opportunities to enhance the event experience and generate additional revenue. Managing last-minute changes without losing sight of the details—or your composure. Following up after events to gather feedback, address any remaining needs, and strengthen the client relationship. Taking pride in the behind-the-scenes coordination that makes an event feel effortless to the guest.

You understand that precise event planning directly affects the guest experience and the hotel’s financial performance. You are highly organized and can manage multiple events, clients, deadlines, and changing priorities. You communicate professionally and confidently with clients, Curators, leaders, vendors, and business partners. You understand the importance of accurate, complete, and timely Banquet Event Orders. You remain calm, solutions-focused, and hospitable when plans change or challenges arise. You can balance client expectations with hotel capabilities, operational needs, and financial guidelines. You notice missing details and follow through until every question has an answer. You are comfortable discussing menus, setup options, contracts, billing, and event logistics. You can collaborate across departments while maintaining clear ownership of the planning process. You bring creativity, accountability, and a service-first mindset to every event. You believe excellent event management means making complex details feel effortless for the client.

Education and Experience

High school diploma or equivalent required. Bachelor’s degree in hospitality, event management, business, communications, or a related field preferred. Previous hotel event planning, catering, conference services, or banquet experience required. Full-service hotel experience preferred. Marriott brand experience is a plus. Experience planning corporate meetings, conferences, weddings, social events, and group programs preferred. Strong knowledge of event operations, banquet service, food and beverage, room setups, and event timelines. Experience creating Banquet Event Orders, diagrams, event resumes, and group communications. Experience using hotel sales, catering, property-management, and event-diagramming systems preferred. Strong written and verbal communication skills. Strong organizational, problem-solving, and time-management skills. Ability to read and understand contracts, menus, billing instructions, rooming lists, and event documents. Ability to identify opportunities for upselling while protecting the client relationship. Ability to manage multiple events and deadlines with accuracy and consistent follow-through. Ability to work independently and collaboratively as part of a hotel team. Ability to work flexible hours, including early mornings, evenings, weekends, and holidays, based on event and business needs.

Work Environment and Physical Requirements

Ability to sit, stand, and walk for extended periods. Ability to move throughout meeting rooms, ballrooms, guest rooms, public spaces, kitchens, and back-of-house areas. Ability to conduct property tours and accompany clients throughout the hotel. Ability to use computers, telephones, printers, presentation equipment, and hotel event-management technology. Ability to review room setups, diagrams, audiovisual arrangements, signage, and event details. Ability to bend, reach, lift, carry, push, and pull event materials, packages, signs, and presentation supplies. Ability to lift or move up to 25 pounds as needed. Ability to communicate effectively in person, by telephone, through virtual meetings, and through electronic correspondence. Ability to work in a fast-paced hotel and event environment while maintaining professionalism, accuracy, and attention to detail.
