The posting

Poste: Gallery Assistant

Lieu: David Zwirner, Paris

Début de contrat: Janvier 2027

Prérequis : La personne retenue devra avoir une maîtrise parfaite de l’anglais (par écrit et à l’oral)

Les responsabilités principales sont les suivantes, mais ne se limitent pas à:

Front desk

  • Accueil de tous les visiteurs avec professionnalisme et convivialité + gestion du headcount.
  • Réception et gestion/transfert des appels reçus + voicemail.
  • Gestion de la boîte de réception [email protected] + front desk Gchat.
  • Gestion du calendrier DZP Master Calendar + DZ Absences.
  • Réception et distribution du courrier et des colis reçus à la galerie.
  • Assurer la préparation, et/ou disponibilité de toute documentation publique (PR, QR codes, books for sale, checklist etc)
  • Assurer la préparation, mise à jour et/ou disponibilité de toute la documentation sales disponible au front desk (confidentielle).
  • Assurer le fonctionnement du matériel nécessaire (iPad newsletter, Izettle, comptes personnes etc).
  • Responsabilité de la bonne tenue et de l’apparence de la zone front desk, en collaboration avec le Technical Manager au besoin.
  • Assiste le visiting staff dans la gestion de leur quotidien (réservations de restaurants, visites de musées, prêt de cartes de musées etc).
  • Organisation des Friday Lunch, avec l’assistance des stagiaires.
  • Rédaction et partage des Global Récap après chaque exposition.

Marketing

  • Assiste les Communications and Marketing Coordinator, l'Associate Director of Events et la sales team à la préparation des évènements publics et privés organisés par galerie (on/off-site): rédaction des éléments de langage, envoi des invitations, gestion de la boîte de réception dédiée, suivi des RSVP et maintien des listes à jour, création de face charts, run of events et attendee recaps.
  • Aide à la coordination logistique lors d'événements spécifiques à l'activité de la galerie (in/off-site) — impression de menus, impression de restaurant cards, lien avec certains vendors, (calligraphe, fleuriste, taxis par exemple).
  • Horaires amplifiés ponctuellement, lors de dîners de vernissage.

Books

  • Assister le Associate Director of Photography dans la gestion des tâches relatives à David Zwirner Books à Paris — Sélection et mise en place des livres disponibles à la consultation dans reception area, inventaire des livres disponibles, gestion des stock, commandes, archives etc).
  • Gestion des advanced copies qui peuvent être envoyées depuis New-York, et organisation de l’envoi aux clients et/ou journalistes.
