Dinsmore is seeking a proactive and tech-savvy Office Services Clerk to serve as the operational backbone of our Wheeling, WV office. This is a dynamic role for a natural problem-solver who enjoys being the go-to resource for our attorneys, ensuring our daily operations are flawless. Responsibilities include, but are not limited to:
Document & Print Production: Over-see and execute high-volume printing, scanning, binding and copying projects with strict attention to detail and confidentiality Inventory & Office Upkeep: Monitor, order and organize office and kitchen supplies so the team never runs out of essentials Event Coordination: Assist with the creative planning and detailed execution of office events First-Line IT Support: Troubleshoot basic tech glitches, handling minor issues with office equipment as well as coordinating with our IT department to resolve larger technical snags quickly Recycling Management: Take ownership of the office recycling program by collecting, organizing, and sorting regular recycling to the local recycling bins as well as driving electronic recycling (e-waste) to Staples for proper disposal Logistics & Mail Services: Assist in outgoing mail including packages, time-sensitive legal documents and executing runs to the local courthouse Office & Workstation Coordination: Seamlessly assist in the setup and breakdown of workstations for new hires and departing employees ensuring their spaces are properly configured and ready to go Communications & Hospitality: Can answer incoming telephone calls with professionalism, direct inquiries efficiently and provide warm, frontline reception support Provide Relief Reception Coverage: Serve as the back-up to our receptionist with duties that include; answering phone calls, distributing incoming mail, assisting attorneys with administrative tasks like time entry, new client intake, and billing
Requirements
Strong customer service and interpersonal skills Excellent organizational skills with the ability to manage multiple priorities and deadlines Proficiency in Microsoft Office Suite and office technology Ability to troubleshoot office and videoconferencing equipment Strong attention to detail and commitment to accuracy Ability to work both independently and collaboratively in a team environment Experience in supporting attorneys and professional staff preferred Knowledge of courthouse procedures and legal office operations is preferred Ability to lift and transport office supplies, files, and equipment weighing up to 50 pounds, with or without reasonable accommodation Experience with legal document handling Demonstrate confidentiality and discretion
