In een internationale en professionele werkomgeving krijg je als Finance & Administration Specialist een brede en veelzijdige rol waarin financiële administratie, HR‑ondersteuning, IT‑coördinatie en office management samenkomen. De functie biedt veel autonomie en nauwe samenwerking met interne stakeholders, waardoor jouw expertise als Finance & Administration Specialist een directe impact heeft op de dagelijkse werking.

Taken en verantwoordelijkheden:

  • Controleren van onkosten- en reisrapporten.
  • Voorbereiden van uitgaande facturen en verwerken van inkomende facturen en onkosten.
  • Verwerken van bankafschriften, facturen en rapporten in het boekhoudprogramma.
  • Uitvoeren van maandelijkse reconciliaties en opvolgen van openstaande betalingen.
  • Assisteren bij maandelijkse rapportering, btw‑aangiftes, jaarlijkse audit, jaarrekening en fiscale documenten.
  • Ondersteunen bij jaarafsluiting en actualiseren van afschrijvingstabellen.
  • Up‑to‑date houden van werkreglementen en personeelsdocumenten.
  • Opstellen van opleidingsplannen en beheren van individuele opleidingsdossiers.
  • Coördineren van verzekeringsupdates en mobiliteitsplannen.
  • Jaarlijkse opvolging van verlofadministratie en aanwezigheidsplanning.
  • Actualiseren van het Employee Benefits Booklet en informeren van medewerkers.
  • Opstellen van preventieplannen, uitvoeren van risicoanalyses en opvolgen van rapportering.
  • Coördineren van brandpreventie en veiligheidsprocedures.
  • Organiseren van interne events en communicatie.
  • Zorgen voor een vlotte werking van kantoorinfrastructuur en apparatuur.
  • Contact onderhouden met gebouwbeheer en technische diensten.
  • Coördineren van business continuity‑activiteiten.
  • Bestellen van kantoorbenodigdheden.
  • Beheren van parkeeradministratie.
  • Eerste aanspreekpunt voor IT‑vragen, opvolgen van Service Now‑tickets en BYOD‑coördinatie.
  • Organiseren van laptopvervangingen volgens cyclus.
  • Bachelor in finance, business, insurance of HR.
  • Sterke analytische vaardigheden en nauwkeurigheid in financiële rapportering.
  • Goed georganiseerd en zelfstandig kunnen werken.
  • Dynamische persoonlijkheid met vlotte communicatieve vaardigheden.
  • Hoog niveau van integriteit en verantwoordelijkheidszin.
  • Vlotte kennis van Engels en Frans; andere talen zijn een pluspunt.
  • Ervaring met financiële tools zoals Excel (VBA), Power BI, Python, Workiva of Bloomberg is een meerwaarde.
  • Discretie bij het verwerken van vertrouwelijke informatie.
