Job Description

Accounts Payable Processing

  • Review, validate, and process vendor invoices accurately and timely.
  • Match invoices to supporting documentation and company systems.
  • Reconcile vendor statements and investigate outstanding items.
  • Research and resolve invoice discrepancies, billing disputes, and payment issues.
  • Prepare payment requests and ensure compliance with company approval requirements.
  • Maintain accurate vendor records and documentation.

Vendor & Internal Customer Support

  • Respond to vendor inquiries regarding payment status and invoice issues.
  • Build and maintain strong relationships with carriers, vendors, and service providers.
  • Communicate effectively with Operations and Accounting teams to resolve billing concerns.
  • Escalate at-risk or past-due items when appropriate.

Accounting & Compliance

  • Support month-end close activities, including accruals and reconciliations.
  • Maintain detailed documentation and audit-ready records.
  • Ensure compliance with company policies, internal controls, and accounting procedures.
  • Identify opportunities for process improvement and increased efficiency.

Additional Duties

  • Assist with reporting, special projects, and ad hoc analysis.
  • Support the Accounting team during periods of high volume.
  • Participate in continuous improvement initiatives.

Qualifications

Required

  • High school diploma or equivalent.
  • 1+ years of Accounts Payable, Accounting, Finance, or related experience.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently and within a team environment.
  • Strong analytical and problem-solving abilities.

Preferred

  • Associate or Bachelor's degree in Accounting, Finance, Business, or related field.
  • Transportation, logistics, or freight forwarding experience.
  • Experience with invoice processing, reconciliations, and vendor management.
