Job Description

The Facilities Supervisor at Opensity Solutions is responsible for overseeing daily facilities operations, maintenance activities, and workplace services to ensure a safe, efficient, and well-maintained environment for employees, clients, and visitors. This role provides direct supervision to facilities staff, including Associates and Coordinators, and partners closely with the Facilities Manager and Workplace Services leadership to ensure operational excellence and service consistency. The position ensures effective execution of maintenance, hospitality, and facility support services while contributing to team development and continuous improvement. This role reports to the Facilities Manager or Client Relations leadership and is classified as non-exempt.

ROLES & RESPONSIBILITIES:

  • Supervise daily facility operations, ensuring buildings, equipment, and workspaces are safe, functional, and properly maintained.
  • Oversee maintenance activities, including repairs, preventative maintenance, and resolution of facility-related issues.
  • Coordinate and assign work to Facilities Associates, Coordinators, and service staff, ensuring timely completion of tasks.
  • Monitor facility service requests and ensure proper escalation and resolution within service standards.
  • Support inspection of facilities to identify maintenance needs, safety concerns, and operational improvements.
  • Ensure compliance with safety regulations, workplace standards, and organizational policies.
  • Support hospitality services, including conference room setup, kitchen maintenance, and common area upkeep.
  • Oversee mail, copy, reception, and general workplace service functions as needed.
  • Assist in office moves, workspace reconfigurations, furniture setup, and general facilities projects.
  • Collaborate with the Facilities Manager to determine service needs, priorities, and operational requirements.
  • Monitor vendor performance and coordinate with external service providers when required.
  • Ensure proper stocking, inventory control, and supply management across facilities service areas.
  • Support team training, onboarding, and ongoing performance development for facilities staff.
  • Promote a culture of service excellence, accountability, and continuous improvement.
  • Ensure accurate documentation of facility activities, issues, and service logs.

KNOWLEDGE, SKILLS & ATTRIBUTES:

  • Strong leadership skills with experience supervising frontline facilities or workplace services teams.
  • Solid understanding of facilities operations, maintenance processes, and workplace services functions.
  • Ability to manage multiple service areas including maintenance, hospitality, and general office support.
  • Strong organizational and prioritization skills in a fast-paced environment.
  • Excellent communication and interpersonal skills for team and client interaction.
  • Strong problem-solving skills with sound judgment and decision-making ability.
  • Knowledge of workplace safety standards and regulatory compliance requirements.
  • Customer service mindset with a focus on workplace experience quality.
  • Ability to train, mentor, and support frontline staff.
  • Proficiency with Microsoft Office and basic facility management or service tracking systems.

QUALIFICATIONS:

Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.

Experience: 2–4 years of experience in facilities operations, workplace services, hospitality, or maintenance support, including supervisory or lead experience preferred.

Technical Skills: Familiarity with office systems, service tracking tools, and basic facilities management platforms. Proficiency in Microsoft Office Suite is preferred.

Certifications: Facilities management, safety (OSHA or equivalent), or workplace services certifications are a plus but not required.

The Compensation range for this role is 32.00 to 36.00 USD per hour. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
