Role Overview

We are seeking a highly organized and detail-oriented Operations/Admin Lead to join our startup team. As the Operations Lead, you will be responsible for managing projects, ensuring communication across the executive team and team members, and bringing organization and clarity to projects that are not yet fully defined. You will need to be a strong communicator, able to multitask, and have a deep understanding of project management.

Key Responsibilities

  • Project Management:Oversee cross-functional projects, coordinating timelines, resources, and deliverables. Track progress, identify bottlenecks, and ensure teams stay aligned on priorities. Provide QA for new features and report any bugs/issues to Dev team.
  • Account ManagementRegularly communicate with prospective and active clients to ensure all needs are being met and products/services are delivered on time. Make sure the sales pipeline is up to date.
  • People OperationsManage calendars and scheduling for the executive team. Onboard new contractors, making sure they fill out all necessary paperwork and that they are set up with accounting to receive payments. Make sure contractors are set up in all systems, including Hubstaff, Asana, and any other relevant programs.
  • ComplianceMake sure all business licenses are up to date and all yearly and quarterly taxes are filled.
  • Process Development & Optimization:Implement and refine operational processes to support rapid business growth and product development cycles. Identify inefficiencies and drive continuous improvement initiatives.

Qualifications

  • Education & Experience:2+ years of experience in operations, project management, or related rolesideally in a startup or tech environment.
  • Technical & AI Knowledge:Understanding of basic AI/ML concepts Highly proficient with spreadsheets and operational tools (Asana, Notion, Google Drive, Etc)
  • Project Management Skills:Demonstrated ability to manage complex projects with multiple stakeholders. Familiarity with Agile, Scrum, or Kanban methodologies is a plus.
  • Communication & Leadership:Excellent written and verbal communication skills; adept at sharing insights with both technical and non-technical audiences. Proven ability to lead and influence teams without direct authority.
  • Adaptability & Collaboration:Thrives in a fast-paced, evolving environment, with a willingness to pivot and iterate as needed. Works well cross-functionally, fostering strong relationships across the organization.

As the Operations Manager, you will be the backbone of our daily operations. Youll work closely with cross-functional teamsincluding Product, Data Science, Engineering, Sales, and Leadershipto streamline processes, optimize resource allocation, and ensure our projects stay on track. Key Responsibilities

  • Process Development & Optimization:Design, implement, and refine operational processes to support rapid business growth and product development cycles. Identify inefficiencies and drive continuous improvement initiatives.

  • Compliance & Risk Management:Ensure the organizations AI solutions meet relevant regulatory and data privacy requirements (GDPR, CCPA, etc.). Implement best practices in security, data handling, and ethical AI usage.
  • Vendor & Partnership Management:Evaluate, select, and manage third-party vendors for services such as cloud infrastructure, data labeling, and software tools. Negotiate contracts and service-level agreements to optimize costs and quality.
  • People Operations (if applicable):Collaborate with HR to drive recruitment, onboarding, and professional development strategies. Foster a positive workplace culture that emphasizes transparency, collaboration, and innovation.
  • Performance Reporting & Analytics:Track, analyze, and report operational KPIs to stakeholders. Use data-driven insights to guide strategic decision-making.

Qualifications
