Company Description

Who we are:

Informa Markets, a division within Informa, creates global platforms for industries. We organize over 500 large-scale branded and transaction-oriented events in 14 specialist markets. These are typically not-to-be-missed annual events where buyers and sellers build relationships, see and show products and do business.

We also provide year-round online platforms where companies showcase their businesses and products and buyers conduct research, generating valuable leads, and we provide data and digital content that supports the flow of knowledge and transactions in markets.

Job Description

This role can be based out of our Boulder, CO or Phoenix, AZ offices.

Are you energized by live events, enjoy working directly with customers, and naturally create structure when there are a lot of moving pieces?

As a Sponsorship Coordinator, you'll help turn sponsorship commitments into successful event experiences. You'll own defined sponsorship programs and serve as a customer-facing point of contact, coordinating across sponsors, internal teams, vendors, and event partners from initial handoff through onsite execution and post-event wrap-up.

This role combines event execution, project management, and client service. You'll manage multiple events and sponsorship programs simultaneously, building plans and timelines, tracking dependencies, communicating proactively, and helping solve problems before they become onsite issues.

You'll independently manage sponsorship fulfillment for assigned events and programs while collaborating with more experienced team members on larger and more complex events.

Role Accountability and Duties

Own the Sponsor Experience

  • Serve as a primary customer-facing point of contact for assigned sponsorship programs from sales handoff through post-event wrap-up.
  • Build strong sponsor relationships through proactive communication, responsiveness, accurate follow-through, and professional customer service.
  • Help sponsors understand timelines, requirements, deliverables, and what to expect throughout the process.
  • Manage expectations and communicate changes, risks, or potential challenges proactively.
  • Identify opportunities to enhance the execution and value of contracted sponsorship commitments.

Create Structure Around Complex Projects

  • Translate sponsorship agreements into actionable project plans, timelines, milestones, responsibilities, and deliverables.
  • Manage multiple sponsorship programs and events concurrently while maintaining visibility into deadlines and dependencies.
  • Maintain accurate project documentation and status tracking so sponsors and internal stakeholders understand progress and next steps.
  • Communicate contract obligations and requirements clearly across Operations, Marketing, Sales, Conference, Registration, Technology, and other teams.
  • Anticipate potential gaps, conflicts, and risks and work with appropriate stakeholders to develop solutions.
  • Manage assigned sponsorship budgets and coordinate vendor requirements.
  • Escalate complex exceptions while maintaining ownership of the overall client experience.

Bring Sponsorship Experiences to Life

  • Coordinate sponsorship and marketing opportunities across in-person, hybrid, and digital events.
  • Coordinate the development and implementation of sponsor graphics, signage, branding, digital assets, and other event elements.
  • Work with conference and content teams to execute contracted sponsor integrations within programming.
  • Coordinate with Operations and vendors on the production, placement, timing, and execution of sponsorship elements.
  • Look for creative opportunities to improve sponsor visibility, engagement, and overall experience while working within contracted commitments.

Deliver Successful Events Onsite

  • Participate in pre-event reviews and onsite walkthroughs to confirm sponsorship readiness.
  • Serve as an onsite sponsorship contact, building relationships with sponsors and ensuring contracted elements are delivered as expected.
  • Stay calm and solutions-focused when plans change, quickly coordinating with internal teams and vendors to resolve issues.
  • Work to make operational challenges as invisible as possible to sponsors and attendees.
  • Participate in post-event reviews, document learnings, and recommend improvements for future events.

Qualifications

  • 1–3 years of experience in events, tradeshows, conferences, hospitality, experiential marketing, sponsorship fulfillment, or another customer-facing environment involving complex project coordination.
  • Hands-on experience supporting live events strongly preferred.
  • Bachelor's degree in event planning, marketing, hospitality, business, or a related field, or equivalent professional experience.
  • Strong customer-facing communication and relationship-building skills.
  • Demonstrated ability to organize multiple projects, deadlines, stakeholders, and deliverables simultaneously.
  • Ability to take complex information and translate it into clear plans and next steps.
  • Strong attention to detail combined with an ability to understand the larger event experience.
  • Professional judgment and ability to identify when an issue requires escalation.
  • Ability to work independently while collaborating effectively across multiple teams.
  • Willingness to travel to conferences and tradeshows approximately 5–8 times per year.
  • Ability to work extended onsite event hours as required.

You'll Thrive in This Role If You:

  • Enjoy taking projects with lots of moving pieces and turning them into clear plans.
  • Naturally think ahead and consider how one decision or deadline affects another.
  • Enjoy working directly with customers and building trusted relationships.
  • Are energized by live events and seeing months of planning come together onsite.
  • Communicate proactively rather than waiting for someone to ask for an update.
  • Take ownership and follow commitments through to completion.
  • Stay calm and resourceful when plans change.
  • Look for ways to make both the sponsor experience and the process better.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
