The Senior Specialist, Global Loaner Asset Management owns and continuously improves the global operational lifecycle of PE rental, repair and loaner assets, reporting to the Senior Manager, APAC Service and Repair. The role ensures that assets are available, compliant, traceable, financially controlled and deployed to customers and service teams on time. The portfolio workload is expected to support approximately 70% EMEA, 10% CALA and 20% APAC demand, with priorities adjusted when necessary to protect patient, customer and business continuity.

  • Own the end-to-end PE rental, repair and loaner operating model from demand intake and prioritization through allocation, shipment, return, decontamination, inspection, repair, preventive maintenance, redeployment and retirement.
  • Act as the central asset-management partner for Service, Commercial, Technical Service Centre, Quality, Regulatory, Supply Chain, Logistics, Finance, Legal, Customer Service and regional stakeholders.
  • Define governance, systems, agreements, work instructions, standard operating procedures, controls and performance reporting for a scalable, audit-ready global loaner service.

Responsibilities

  • Portfolio ownership: Maintain complete accountability for PE rental, repair and loaner assets, ensuring correct ownership, location, status, configuration, serial-number traceability, valuation, maintenance history, availability and disposition.
  • Regional service allocation: Plan and coordinate the operating workload across EMEA (approximately 70%), CALA (approximately 10%) and APAC (approximately 20%), balancing contractual commitments, customer urgency, clinical impact, asset availability, logistics lead times and cost.
  • Demand and allocation: Establish a single intake, approval and prioritization process; validate requests; reserve suitable systems and accessories; schedule dispatch and return; prevent double-booking; and escalate shortages or operational risks.
  • Lifecycle control: Coordinate shipment, installation readiness, customer handover, return authorization, decontamination evidence, incoming inspection, repair, preventive maintenance, calibration, software or configuration updates, quality release, redeployment and end-of-life disposal.
  • Rental and loaner agreements: Create and maintain standard agreements, addenda, service-level terms, responsibilities, handover and acceptance records, return conditions, liability and damage terms, freight responsibilities, rental charges, extension terms, loss provisions and customer acknowledgement templates in partnership with Legal, Finance, Quality and Commercial teams.
  • Systems and master data: Own the operational system design and data quality for assets and transactions across approved systems such as Oracle, SFDC, service-management tools, Power BI and controlled trackers. Define required fields, status codes, interfaces, user roles, dashboards, data standards and reconciliation controls.
  • System optimization: Continuously assess and optimize asset-management, rental, repair and loaner systems and workflows. Identify gaps, simplify processes, improve automation and integrations, enhance user experience and reporting, test and validate changes, coordinate implementation with IT and business stakeholders, and ensure that system improvements remain compliant, scalable and supported by controlled documentation and user training.
  • WI and SOP ownership: Draft, implement, train and periodically review controlled work instructions and SOPs covering request intake, approval, booking, dispatch, handover, tracking, extension, return, cleaning and decontamination, inspection, repair, maintenance, release, stock counts, damage or loss, escalation and retirement.
  • Quality and compliance: Ensure activities meet applicable quality, regulatory, trade, customs, medical-device, data-integrity, health and safety and record-retention requirements. Maintain audit-ready records and support audits, CAPAs, investigations, complaint interfaces and field actions as required.
  • Inventory and financial control: Lead periodic physical counts and system reconciliation; monitor utilisation, idle time, overdue returns, repair spend, freight, rental revenue, depreciation, losses and damage recovery; support budget, forecast and capital replacement planning.
  • Supplier and logistics management: Coordinate service centres, warehouses, carriers, customs brokers and third-party providers; define service levels; monitor performance; and drive corrective actions for delays, damage, documentation gaps or recurring failures.
  • Performance management: Establish and report KPIs including asset availability, utilisation, fulfilment rate, on-time delivery, turnaround time, overdue returns, repair cycle time, preventive-maintenance compliance, inventory accuracy, cost per deployment, damage or loss rate, rental revenue and customer-service performance.
  • Continuous improvement: Lead process mapping, root-cause analysis, standardisation, automation and capacity optimisation; develop business cases for additional loaners, repair capability, system enhancements and regional stocking strategies.
  • Stakeholder leadership: Chair regular global loaner reviews, communicate priorities and constraints, provide transparent portfolio reporting, train users and create clear escalation paths and RACI ownership across functions and regions.
  • Business continuity: Maintain contingency plans for urgent clinical needs, asset shortages, transport or customs disruption, system outages and high-impact equipment failures.
  • Assigned projects: Allocate approximately 60% of working time to projects assigned by the Senior Manager, APAC Service and Repair or other authorized business leaders. Projects may include system optimization, regional or global process improvements, operational excellence, service transformation, data quality, governance, implementation and cross-functional initiatives. Manage assigned projects with clear scope, milestones, risks, actions, stakeholder communication and documented outcomes.

Qualifications

  • Bachelor’s degree in business, supply chain, engineering, biomedical technology, operations or a related field; equivalent relevant experience may be considered.
  • Typically 7+ years of progressive experience in asset management, field service, repair operations, rental or loaner operations, supply chain or medical-device service, including ownership of complex regional or global processes.
  • Demonstrated experience creating and implementing SOPs, work instructions, process controls, service-level agreements, customer agreements and governance frameworks in a regulated environment.
  • Strong working knowledge of asset lifecycle, serialised inventory, preventive maintenance, repair workflows, logistics, customs, financial controls, document control and audit readiness.
  • Advanced capability with ERP, CRM and reporting tools; experience with Oracle, SFDC, service-management platforms, Power BI and Microsoft 365 is preferred.
  • Excellent analytical skills and the ability to translate operational data into capacity plans, forecasts, business cases, risk assessments and executive-level recommendations.
  • Strong project and change-management capability, with a record of standardising processes across countries, functions and third-party providers.
  • Clear written and verbal English communication, strong negotiation and influencing skills, customer focus and the ability to work effectively across cultures and time zones; additional languages are an advantage.
  • High attention to detail, sound judgement, ownership mindset and ability to manage competing priorities and urgent customer requirements with limited supervision.
  • No travel is required. Ability to collaborate remotely across regions and participate in occasional calls outside standard local working hours when necessary to support global operations and assigned projects.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
