Backed by advanced technology, lifecycle services, and an industry-leading field organization, we help customers use energy more productively, reduce carbon emissions, and operate with the precision and resilience required in rapidly expanding industries such as data centers, healthcare, pharmaceuticals, advanced manufacturing, and higher education.

Role Overview

Under general direction, this role provides administrative and coordination support for security projects while building project management skills. You will help project leaders plan, organize, and complete assigned work by supporting documentation, scheduling, procurement coordination, installation tracking, commissioning support, and project closeout activities. The position is designed to help you learn how to balance customer satisfaction, project timelines, and financial goals in a fast-paced project environment.

Key Responsibilities

  • Provide administrative and coordination support for security projects, including meeting scheduling, document control, and deliverable tracking.
  • Assist project leaders with planning, organizing, and completing assigned projects from start through closeout.
  • Support project documentation, including scope details, change orders, progress updates, contracts, invoices, and related records.
  • Track project timelines, milestones, costs, billings, and collections, and escalate risks or delays to project leadership as needed.
  • Coordinate procurement activities by helping manage material orders, deliveries, quotes, and vendor communications.
  • Support communication with customers, subcontractors, technicians, designers, and internal stakeholders to keep work aligned and on schedule.
  • Assist with installation tracking, commissioning support, jobsite coordination logistics, and project closeout documentation.
  • Help ensure project administration processes follow company standards, compliance requirements, and safety guidelines.

How You Will Do It

  • Own your assignments with accountability, accuracy, and integrity, especially when handling documentation, follow-up, and safety-sensitive project records.
  • Stay close to the work by keeping schedules, deliverables, and status updates current so customers and project leaders have clear visibility.
  • Remove friction for the team by coordinating materials, communications, and handoffs quickly and reliably.
  • Use candor and problem-solving to surface risks early, tighten processes, and improve project organization over time.
  • Work as one team across customers, subcontractors, technicians, designers, and internal partners, bringing the right people together to keep projects moving.
  • Learn and apply basic project management tools and practices as you build confidence and take on greater responsibility.
  • Maintain disciplined records and communication habits so billing, commissioning, and closeout activities are completed cleanly and on time.

Qualifications

  • 1–3 years of administrative, coordination, or office support experience, with project-based environment experience a plus.
  • Strong organizational and time management skills with excellent attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • High level of customer service and professionalism.
  • Proficiency in Microsoft Office, including Excel, Word, Outlook, and Teams.
  • Ability to work independently while supporting a team.
  • Willingness to learn project management concepts and tools.
  • High school diploma or equivalent.
  • Ability to successfully pass and maintain U.S. Marshals Service (USMS/Boeing/USAO) security clearance requirements as a condition of working on applicable projects.

Nice to Have

  • Experience supporting projects, construction, or technical teams.
  • Exposure to project management tools or methodologies, such as scheduling tools or task tracking systems.
  • Basic understanding of budgeting, invoicing, or financial tracking.
  • Interest in pursuing project management training or certification, such as CAPM or a PMP pathway.
  • Familiarity with security systems, construction, or technical environments.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
