Position Summary

The Lab Planner is responsible for the planning and design of laboratory facilities to ensure the safe, efficient, and effective use of space and resources. This role combines occupancy planning expertise—supporting long-term supply and demand planning and scenario development—with the technical execution required for critical lab environments.

The Lab Planner will coordinate with lab managers/users, Real Estate Workplace Services (REWS), and vendors to provide supply/demand scenarios and ensure that all collateral, including test fits and engineering assessments, is available for hand-off to Project Management (construction) or MAC/Move teams, as required.

Essential Responsibilities

Strategic Planning & Portfolio Management

  • Support the development of portfolio migration strategies and manage lab initiatives/re-stacks for one or more Product Areas.
  • Analyze data to identify trends in lab space allocation and usage for optimization opportunities.
  • Create and deliver Lab planning proposals outlining options, potential outcomes, benefits, and risks.

Technical Design & Infrastructure

  • Develop space layout options for critical lab environments, including scenario (block) plans, test fits, and adjacency considerations for client approval.
  • Collaborate with the Labs Engineering team to assess power and HVAC infrastructure capacity, ensuring technical feasibility for new labs and relocations, and aligning infrastructure capabilities with project requirements.
  • Create space and occupancy planning collateral.
  • Ensure all space planning activities comply with local building codes, fire safety regulations, and accessibility standards.

Operations, Standards & Collaboration

  • Develop, maintain, and ensure the consistent use of planning standards, processes, and templates.
  • Create and maintain project-specific lab binders and trackers for Lab initiatives.
  • Conduct meetings, including taking minutes and tracking assigned deliverables.
  • Ensure all space planning activities comply with Key Performance Indicators (KPI’s) and client satisfaction targets.
  • Contribute to the maintenance of the lab infrastructure database and Adaptive Work records by providing timely updates.
  • Collaborate with internal and external vendor partners, including Occupancy Planning, MAC/Moves, Delivery, IFM and Project Managers, as required.

Qualifications

Education & Experience

  • Bachelor's Degree required. Preferred majors include Interior Design, Architecture, or related fields.
  • 5–10 years of related work experience in interior design, architecture, lab and/or space strategy, master planning, facilities management, or project management.

Skills and Competencies

  • Strategic Knowledge: Proficiency in Lab space planning, programming, and occupancy strategy.
  • Technical Proficiency: Expert-level proficiency in AutoCAD, CAFM systems, and space data management solutions.
  • Software Skills: Proficient with Google Workspace (Docs/Sheets/Slides) or Microsoft Office Suite, and project scheduling software (MS Projects or Smartsheet).
  • Analytics: Intermediate spreadsheet skills (formulas; data tracking; pivot tables) and experience in analytics to create and compare space solutions.
  • Systems & Design: Proficiency in AutoCAD and CAFM systems is required; BIM experience is a bonus.
  • Lab Infrastructure: An understanding of Mechanical, Electrical, Plumbing (MEP) systems and lab testing / critical environments is plus.
  • Communication: Excellent interpersonal, oral, and written communication skills with the ability to collaborate with a variety of stakeholders on a range of lab-related topics.
  • Work Style: Organized, client-focused, accountable, and capable of working independently or as part of a team in a fast-paced environment.
  • Customer Service: Proven record of providing excellent customer service.
  • Agility: Ability to quickly pivot on project deliverables.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
