Document Control (Owner’s Representative) – Semiconductor

KALCON is seeking detail-oriented Document Control to support the management of facility documentation, space information, and workplace data across corporate and technical facilities environments. This individual will be responsible for maintaining accurate facility records, coordinating drawing updates, managing document repositories, and supporting workplace management systems that enable effective space planning, occupancy tracking, facility operations, and project delivery. The ideal candidate will possess strong AutoCAD and document controls experience, a solid understanding of facility and construction documentation, and the ability to collaborate with Facilities, Engineering, Real Estate, Operations, and Project Teams to maintain accurate facility information throughout the asset lifecycle. This role serves as a key resource for ensuring facility data integrity, drawing accuracy, and document management consistency across multiple systems and stakeholders.

Minimum Qualifications:

  • Bachelor's degree in Engineering Technology, Architecture, Facilities Management, CAD Technology, Construction Management, Information Management, or a related field; equivalent industry experience will be considered.
  • 4+ years of experience managing facility drawings, space records, construction documentation, or facility information systems within a corporate, industrial, manufacturing, real estate, or construction environment.
  • Experience utilizing AutoCAD to maintain and update facility, floor plan, and site documentation.
  • Experience supporting Integrated Workplace Management Systems (IWMS), Computerized Maintenance Management Systems (CMMS), facility databases, or similar enterprise workplace platforms.
  • Strong understanding of facility documentation standards, drawing management practices, and document control procedures.
  • Ability to review and interpret architectural, engineering, and construction documents.
  • Proficiency with Microsoft Office Suite, including Excel for reporting and data analysis.
  • Strong organizational skills, attention to detail, communication abilities, and problem-solving capabilities.
  • Ability to manage multiple priorities while maintaining data accuracy and document integrity.

Duties and Responsibilities:

Facility Documentation & Drawing Management

  • Maintain, update, and organize facility drawings, floor plans, site plans, and related documentation in accordance with established company standards.
  • Review and process facility modifications resulting from renovations, reconfigurations, capital projects, and operational changes.
  • Ensure facility records accurately reflect current building layouts, occupancy assignments, departmental allocations, and workspace configurations.
  • Coordinate drawing updates with architects, engineers, facility managers, project teams, and external consultants.
  • Maintain drawing standards, templates, layers, attributes, and documentation procedures to ensure consistency across the portfolio.
  • Support quality assurance reviews and drawing audits to verify accuracy and completeness of facility documentation.

Workplace Systems & Data Management

  • Support administration and maintenance of workplace management systems used for space planning, occupancy tracking, move management, and facility operations.
  • Coordinate data synchronization between facility drawings and workplace information systems to ensure alignment and accuracy of records.
  • Maintain building, space, occupancy, asset, and departmental data within enterprise systems.
  • Assist with data validation activities, system testing, upgrades, and migration efforts related to workplace and facility management platforms.
  • Generate reports and support stakeholders with facility-related data requests and space utilization information.
  • Troubleshoot facility data discrepancies and coordinate corrective actions with internal stakeholders.

Document Control & Records Management

  • Maintain centralized electronic and physical document repositories to ensure secure storage, accessibility, and retention of project and facility documentation.
  • Organize, catalog, and archive facility records, as-built drawings, engineering documents, operation manuals, and project closeout packages.
  • Review project turnover documentation and integrate approved record documents into official facility records.
  • Support document control workflows including version management, revision tracking, transmittals, and distribution processes.
  • Respond to document requests and assist stakeholders in locating facility records, drawings, and project documentation.
  • Develop and maintain procedures, standards, and work instructions related to document management and drawing governance.

Project & Facilities Coordination

  • Coordinate with Facilities, Engineering, Real Estate, Operations, and Construction teams to implement facility documentation updates.
  • Support workplace moves, restacks, occupancy planning activities, and facility change management initiatives.
  • Assist with project closeout efforts to ensure accurate incorporation of record drawings and operational documentation.
  • Participate in facility audits and data verification efforts to improve accuracy and compliance with company standards.
  • Support continuous improvement initiatives related to facility information management, document control, and workplace systems.
  • Perform additional duties as assigned by Management.

Preferred Qualifications

  • Experience supporting large-scale corporate campuses, manufacturing facilities, mission-critical environments, laboratories, semiconductor facilities, or data centers.
  • Experience with Integrated Workplace Management Systems (IWMS), including workplace planning, space management, or occupancy tracking functions.
  • Familiarity with BIM platforms such as Revit.
  • Knowledge of document control best practices, electronic records management systems, and SharePoint-based document repositories.
  • Experience supporting facility operations, corporate real estate, workplace planning, or capital project delivery programs.
  • Understanding of as-built documentation, engineering drawing management, and project turnover processes.
