About the Role
The Change Management Administrator & Change Management Analyst is responsible for the administration, coordination, analysis, and continuous improvement of the organisation's change management processes. The role ensures that changes affecting products, processes, documentation, systems, and operational activities are appropriately assessed, approved, implemented, communicated, and recorded. The position acts as a central point of coordination for change activities, providing governance, reporting, process analysis, and stakeholder support to ensure changes are effectively managed while maintaining compliance, product integrity, and operational efficiency.
Key Responsibilities
Change Management Administration
Administer and coordinate change requests throughout their lifecycle. Ensure all changes are reviewed, approved, documented, and implemented in accordance with company procedures. Maintain accurate and auditable records of all change activities. Monitor change progress and ensure actions are completed within agreed timescales. Facilitate change review meetings and support change approval boards. Ensure full traceability of decisions, actions, approvals, and implementation activities. Support the communication and coordination of approved changes across affected departments.
Change Management Analysis
Analyse change management data to identify trends, risks, bottlenecks, and opportunities for improvement. Monitor and report on key performance indicators (KPIs) related to change effectiveness and process efficiency. Conduct root cause analysis on delayed, failed, or recurring changes. Develop reports, dashboards, and management summaries. Provide recommendations to improve change processes, governance, and business performance. Support decision-making through data-driven insights and analysis.
Process Improvement
Review existing change management processes and identify improvement opportunities. Support the implementation of process improvements and workflow enhancements. Assist in developing and maintaining change management procedures, policies, and work instructions. Promote standardisation and best practices across the organisation. Participate in continuous improvement and business transformation initiatives. Support automation and digitalisation projects relating to change control processes.
Governance & Compliance
Ensure compliance with organisational policies, quality systems, and regulatory requirements. Support internal and external audits. Monitor adherence to change management procedures. Assist in the development and maintenance of governance frameworks and controls. Identify process risks and recommend mitigation actions. Ensure document and record retention requirements are met.
Stakeholder Management
Serve as a key point of contact for change-related activities. Work closely with Engineering, Quality, Operations, Manufacturing, Supply Chain, and other business functions. Facilitate collaboration and communication between stakeholders. Provide guidance and support on change management requirements and processes. Escalate issues and risks appropriately.
Reporting & Metrics
Develop and maintain change management performance reports. Monitor:
Change cycle times Approval lead times Open and overdue actions Implementation effectiveness Compliance metrics
Present findings and recommendations to management. Support strategic planning through trend analysis and performance monitoring.
Training & Support
Develop training materials, guidance documents, and user instructions. Provide training and coaching on change management processes and best practices. Support employees and stakeholders in understanding their responsibilities within the change process. Promote awareness and adoption of change management principles throughout the organisation.
Qualifications & Experience Essential
Experience in change management, engineering administration, business analysis, project coordination, or process improvement. Strong analytical and problem-solving skills. Experience managing controlled processes and business records. Excellent organisational and stakeholder management skills. Strong written and verbal communication abilities. Advanced proficiency in Microsoft Office applications, particularly Excel.
Desirable
Experience within engineering, manufacturing, quality, operations, or regulated environments. Knowledge of product lifecycle, configuration management, or document control processes. Experience with workflow management or business process systems. Experience using reporting and business intelligence tools such as Power BI. Understanding of quality management standards such as ISO 9001
