About the Company

Our client is an established construction firm specializing in complex federal construction projects. Founded in 2000, the company has built a reputation for delivering high-quality construction solutions while maintaining a strong commitment to teamwork, accountability, and operational excellence.

With a growing portfolio of federal opportunities and a collaborative approach to project delivery, the organization offers employees the opportunity to work closely with leadership, contribute directly to business growth, and develop professionally within an expanding construction company.

About the Position

Our client is seeking a Project Coordinator to support its sales and estimating team in pursuing federal construction opportunities. This position plays an important role in developing compelling, compliant proposals that communicate the company's technical capabilities, project experience, and approach to successful project execution.

Working directly with company leadership, preconstruction, and field operations, the Project Coordinator will take ownership of proposal organization, writing, coordination, and submission. The ideal candidate is a strong writer and highly organized professional who can interpret complex solicitation requirements, develop persuasive technical content, coordinate input from multiple stakeholders, and manage competing deadlines.

Key Responsibilities:

  • Identify and track federal construction opportunities through SAM.gov, Multiple Award Construction Contracts (MACCs), and Indefinite Delivery/Indefinite Quantity (IDIQ) contracts.
  • Review requests for proposals, amendments, submission instructions, and evaluation criteria to establish proposal requirements and compliance checklists.
  • Develop proposal outlines, calendars, assignments, and internal review milestones.
  • Draft, edit, and customize technical proposals, including project approaches, management plans, staffing qualifications, and past performance narratives.
  • Develop preliminary construction approaches, sequencing plans, and project schedules using solicitation requirements and project information.
  • Coordinate with preconstruction and operations to validate technical assumptions, schedules, procurement considerations, and construction methodologies.
  • Organize proposal kickoff meetings, coordinate internal reviews, follow up on outstanding information, and communicate potential submission risks.
  • Maintain organized proposal documentation, including drawings, specifications, correspondence, amendments, and government clarifications.
  • Prepare subcontractor invitations to bid through Builder's Exchange/BX Bid and maintain subcontractor communication and response records.
  • Coordinate pre-bid questions and route technical inquiries to appropriate team members.
  • Maintain project profiles, past performance records, questionnaires, references, resumes, photographs, and reusable proposal content.
  • Work with project managers and field operations to verify project details and capture accomplishments for future submissions.
  • Coordinate leadership reviews, proofreading, final production, and submission of complete, compliant proposals by established deadlines.
  • Maintain opportunity trackers and bid-status records, report pursuit progress, and support the transition of awarded proposals to operations.

Requirements

  • Minimum of 2 years of experience in marketing, proposal writing, or a related coordination role; direct proposal experience preferred.
  • Exceptional writing, editing, and proofreading skills, with the ability to translate complex information into clear, persuasive content.
  • Proficiency in Microsoft Word, Excel, Adobe Acrobat, and Outlook, including professional document formatting and PDF submission preparation.
  • Strong technology skills and the ability to learn new software, research solutions, and troubleshoot issues independently.
  • Ability to develop preliminary technical approaches, construction sequencing, and project schedules from solicitation documents and project information.
  • Exceptional organizational skills, attention to detail, and follow-through across multiple deadlines.
  • Strong communication skills and confidence coordinating with company leadership, subcontractors, and field personnel.
  • Ability to interpret and follow detailed federal solicitation requirements and submission procedures.
  • Discretion when handling confidential company information and proposal materials.

Preferred Qualifications:

  • Construction proposal writing experience, particularly with federal construction projects.
  • Familiarity with SAM.gov, MACC/IDIQ task orders, construction terminology, and government past performance submissions.
  • Experience with Microsoft Project, Canva, Adobe InDesign, and/or Builder's Exchange/BX Bid.
  • Bachelor's degree in Marketing, Communications, English, Business, or a related field. Relevant experience and demonstrated writing ability are valued more highly than a degree.
  • Familiarity with federal procurement and construction proposal processes.

Benefits

  • Competitive base salary $65,000-$85,000
  • Medical, dental, and vision insurance.
  • 401(k) retirement plan with company match.
  • Paid time off.
  • Parental leave.
  • Bonus opportunities.
  • Flexible work hours.
  • Continued learning and professional development.
  • Opportunities for career advancement as the company grows.
  • Direct collaboration with company leadership and involvement in strategic business development initiatives.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
