Your Role:

As an Accounts Administration Officer, you will support both accounts payable (AP) and accounts receivable (AR) functions to ensure the accurate, timely processing of invoices, payments, receipting, reconciliations, and reporting. You will play an active part in maintaining strong supplier and customer relationships, enforcing compliance with internal controls, and supporting overall financial health.

Specifically, you will:

  • Manage day-to-day AP and AR operations, including processing supplier invoices, credit notes, staff reimbursements, and customer billings within agreed timeframes.
  • Verify purchase orders and supporting documentation against company policy before approving invoices or issuing payments.
  • Allocate incoming payments and post receipts accurately within the ERP system, maintaining a minimum 98% accuracy baseline.
  • Monitor outstanding customer balances, prepare statements, and proactively manage debtors to minimize aged accounts.
  • Perform regular monthly reconciliations for supplier and customer accounts, investigating and resolving discrepancies promptly.
  • Assist in month-end and year-end closing activities, including accruals, prepayments, general ledger account reconciliations, and supporting schedules.
  • Collaborate with cross-functional teams (Finance, Procurement, Sales, PMO) to streamline financial processes, resolve queries, and support Quality Management (QMS) and Occupational Health & Safety (OHSMS) standards.

What You Need:

Non-negotiables

  • 2–4 years of progressive professional experience in accounts payable, accounts receivable, or a closely related finance administration role.
  • Sound practical understanding of core accounting principles, AP/AR operational workflows, and internal financial controls.
  • Proficiency using financial software or ERP platforms (such as MYOB, Ostendo, or equivalent systems).
  • Intermediate to advanced Microsoft Excel skills (including data reconciliation, functions, and financial reporting).
  • High level of numerical accuracy, strong attention to detail, and acute organizational capabilities.
  • Excellent written and verbal communication skills with a customer-focused, professional mindset.
  • Strong ethical grounding with a commitment to maintaining total confidentiality and data integrity.

Preferred skills/expertise

  • Prior experience supporting debtor management and debtor insurance workflows.
  • Demonstrated history of contributing to continuous process improvements across corporate financial controls.
  • Proven ability to thrive independently while acting as a proactive, collaborative team player.
