Your Role: As a Corporate Administration Officer, you will:

  • Order Processing & Batch Management: Key online, email, and manual customer orders accurately into Pronto ERP; balance order batches for regional branches to support dispatch timelines.
  • Customer Account & Master Data Setup: Open new customer accounts, update business and agreement resign details, configure new delivery locations/product codes, and update contact information.
  • Financial Data & Adjustment Processing: Collect initial order payments, investigate manual price/billing adjustment requests, and process adjustments according to financial controls.
  • Non-Verbal Customer Inquiry & Escalation: Resolve customer service inquiries received via email or web portals, coordinating with Sales, Operations, and Finance to escalate unresolved issues.
  • Safety & Permit Compliance: Participate in site safety risk assessments (HAZOP, MOC, HAZID, RFSR), report hazards/incidents, and ensure contractors operate within Permit To Work (PTW) frameworks.
  • Process Improvement & Team Support: Identify administrative bottlenecks, collaborate across departments to improve turnaround times, and maintain detailed customer notes within ERP records.

What You Need: Non-negotiables

  • 3+ Years Administrative & Data Entry Experience: Proven track record in high-volume data entry, customer account administration, or operations management support.
  • ERP Master Data & Order Processing: Demonstrated proficiency managing customer master files, sales order entry, and account updates in an enterprise ERP platform.
  • Intermediate MS Excel Skills: Functional capability in MS Excel (e.g., VLOOKUPs, pivot tables, data reconciliation) to analyze batches and reconcile billing data.
  • Data Accuracy & SLA Adherence: High precision to maintain 100% accuracy in master data/invoicing and meet 24–48 hour inquiry response SLAs.
  • Safety & Compliance Mindset: Active commitment to workplace safety protocols, risk assessment participation, and strict procedural adherence.

Preferred skills/expertise

  • Direct experience utilizing Pronto Xi ERP software.
  • Background in industrial gases, chemical distribution, logistics, or multi-site branch networks.
  • Experience with Permit To Work (PTW) systems, HAZOP reviews, or site safety management frameworks.
  • Demonstrated ability to collaborate across cross-functional teams (Sales, Operations, Logistics) to resolve billing and delivery discrepancies.
