Your Role:

As a Operations Assistant, you will:

  • Manage Purchasing Activities: Create purchase orders based on released sales orders, verifying quantities, specifications, and pricing. Coordinate supplier lead times, record received goods, and report shortages or damaged items.
  • Monitor Inventory: Track stock levels and raise purchase orders to maintain approximately 50 days of stock cover.
  • Process Sales Orders and Deliveries: Review orders for completeness, follow up with sales representatives for missing information, release orders for delivery, and maintain accurate delivery records in NetSuite.
  • Coordinate with Suppliers: Handle supplier inquiries, resolve concerns or escalate them as needed, and monitor warranty and product fault complaints through to resolution.
  • Support Supplier Meetings: Prepare relevant documents and meeting notes and attend supplier meetings alongside the designated team lead.
  • Maintain Product Data and Pricing: Create product codes in NetSuite according to established standards, process supplier price updates, and ensure product records remain accurate and current.
  • Maintain Records and Improve Processes: Keep purchasing and order records organized and up to date, ensuring order statuses are visible to relevant stakeholders while identifying opportunities to improve workflows.

What You Need:

Non-negotiables

  • Previous experience in administration, purchasing, order processing, or sales support.
  • Strong attention to detail when handling product codes, quantities, specifications, and pricing.
  • Clear and professional communication skills, both over the phone and through email, with the ability to follow up with suppliers and colleagues effectively.
  • Excellent organizational skills and proficiency in Microsoft Excel and Outlook.
  • Ability to learn and navigate ERP, inventory, and order management systems; NetSuite experience is an advantage.
  • Reliable, proactive, and capable of identifying missing information or potential issues early.
  • Professional and composed when dealing with suppliers, colleagues, and customers.

Preferred skills/expertise

  • Experience using NetSuite or similar ERP and order management platforms.
  • Background in furniture, healthcare equipment, or contract supply industries.
  • Experience coordinating purchasing, supplier communications, inventory, and delivery processes.
  • Willingness to learn, take initiative, and grow into additional responsibilities as the team and role develop.
