JOB DESCRIPTION

Payroll Officer

The role will provide end-to-end payroll, finance administration, and general business support services.

Key Responsibilities

  • Processing monthly (and/or fortnightly) payroll in accordance with Australian payroll legislation and company policies.
  • General bookkeeping that includes coding of expenses into Xero with regard to FBT obligations.
  • Reviewing, managing, and following up outstanding employee timesheets to ensure accurate and timely payroll processing. A proprietary software is used – Talented Team. Follow up emails and calls to ensure they are entered in a timely manner.
  • Administering employee leave entitlements, including annual leave, personal leave, and long service leave. Ensuring that they are logged by each consultant into our HR system – Employment Hero. Follow up emails and calls to ensure they are entered in a timely manner.
  • Preparing accurate client invoices and supporting accounts receivable activities, including payment follow-ups and outstanding debt tracking.
  • Assisting with end-of-month financial administration, reconciliations, and supporting accountants with financial documentation and reporting requirements.
  • Preparing and maintaining payroll-related obligations, including PAYG withholding, Payroll Tax, and Superannuation Guarantee contributions.
  • Producing monthly management reports, financial reports, and supporting the preparation of board reports and business reporting packs.
  • Providing HR administration support, including preparing employment contracts, correspondence, and employee documentation as required.
  • Responding to payroll, finance, and administrative enquiries from employees, and clients.
  • Conducting occasional phone-based follow-ups with employees regarding timesheets, payroll matters, and administrative requirements.
  • Performing general administrative duties and providing operational support to the two Directors as required.

Qualifications

  • Demonstrated experience using Xero.
  • Understanding of Australian payroll processes, employment obligations, and statutory compliance requirements.
  • Experience in payroll administration, finance support, invoicing, accounts receivable, and reconciliations.
  • High attention to detail with strong organisational and time management skills.
  • Excellent written and verbal communication skills with a strong client service focus.
  • Ability to work independently, manage competing priorities, and maintain confidentiality when handling sensitive employee and financial information.
